Print single or multiple journal entry reports in QuickBooks

Learn how to generate and print a single or multiple journal entry reports in QuickBooks Online.

You can print reports for individual journal entries or multiple entries at once. To print multiple entries, you’ll need to customise the journal report first.


Print a single journal entry

Generate and print a report for one journal entry at a time.

  1. Follow this link to complete the steps in product Open this link in a new window
  2. Select the Search (magnifying glass) icon, then select Advanced transaction search for more results.
  3. From the Transaction type dropdown, select Journal. You can apply additional filters if needed.
  4. Select the journal entry you want to print.
  5. Select More, then Transaction journal.
  6. If your report opens in:
    • Classic view: Select the Print icon.
    • New enhanced experience: Select the Export/Print dropdown, then choose Print/Save as PDF. You can adjust the report print settings before printing.
  7. Select Print.

Print multiple journal entries in one report

Generate and print a report that includes multiple journal entries.

  1. Follow this link to complete the steps in product Open this link in a new window
  2. Select Journal from the Find report by name drop-down.
  3. Customise the report, and select your preferred Report period.
  4. Select Filter, then set Transaction type → equals → Journal Entry.
  5. Modify General options if you want to update header/footer details or number formats.
  6. Go to Columns to rearrange, remove, or add columns.
    • For QuickBooks Online Advanced, select the Reorder tab for these options.
    • Example: Uncheck Name and select Customer full name, Employee, or Supplier instead.
  7. Select Save As to keep the current filters. You can edit this journal report at any time via the Custom reports tab.
  8. Select the Export/Print dropdown, then choose Print/Save as PDF.
  9. Adjust the Report Print Settings if necessary, then select Print.
