Export hours from QuickBooks Time to QuickBooks Desktop with Web Connector

Learn how to export hours from QuickBooks Time to QuickBooks Desktop using the Web Connector.

Before exporting for the first time

  1. Set up the integration between QuickBooks Time and QuickBooks Desktop using the Web Connector.
  2. Approve timesheets in QuickBooks Time.
  3. Then, select the QuickBooks dropdown, and select Preferences.
  4. Under Exporting Time to QuickBooks, select Export Approved Timesheets when Syncing.
  5. Map your payroll items.

Export approved hours to QuickBooks Desktop

You must approve timesheets first, before they can be exported to QuickBooks Desktop.

Before exporting for the first time

  1. In QuickBooks Time, select the QuickBooks dropdown and then Preferences.
  2. Under Exporting Time to QuickBooks, choose Export Approved Timesheets when Syncing.
  3. Make sure that you have mapped your Payroll Items.

To export approved hours

  1. Open QuickBooks Desktop and the Web Connector on the same computer.
    • Every time you run the Web Connector to sync QuickBooks Desktop and QuickBooks Time, make sure you are logged in to QuickBooks Desktop as admin and in single-user mode.
    • Note: We do not recommend using the Auto-Run feature in the Web Connector. If it is absolutely necessary, then set the frequency for 60 minutes or greater.
  2. In QuickBooks Desktop, select File and then Update Web Services.
  3. The Web Connector opens.
  4. Select the appropriate company file, and choose Update Selected.

Note: If you need to edit or delete timesheets in QuickBooks Time after they have been exported, contact Support to help you unlock that time.
