Apply a leave application to a pay run in QuickBooks Advanced Payroll

You can apply an employee’s leave request directly to a pay run in QuickBooks Online Advanced Payroll. Leave requests will appear under the Weekly Period Ending heading when you start a new pay run. The number next to this heading shows how many leave applications are outstanding.


Viewing leave requests

Select the Leave Requests tab to see details for each request:

  • Employee name
  • Type of leave requested
  • Dates of leave
  • Total hours requested

You can choose to apply leave requests in bulk, or handle them individually by hovering over the employee’s name. Two options appear: Apply and Mark as applied manually.


Applying leave

Selecting Apply opens a dialogue box where you can confirm how many hours to apply to the current pay run. By default, the system uses the full number of hours requested.

If you don’t apply all hours, the remaining leave will carry over to future pay runs. Once applied, a new leave line appears in the Leave Taken section of the employee’s pay run details. Deleting this leave line will revert the leave request status to “not applied.”


Manually applying leave

Choosing Mark as applied manually doesn’t open a dialogue box. Instead, the system adds a Manually applied label next to the employee’s name.

No leave line is added to the pay run in this case. This option is useful if an employee returns early or part of the leave has already been applied in a previous pay run. You can undo this action by hovering over the label and selecting Undo.
