Clock your crew in, switch jobs or customers, take a break, and clock out in QuickBooks Time

Notes:

  • Crew functionality is faster and easier from an Android or iOS device, as shown below.
  • To access the Crew feature as an administrator, in your mobile app, go to More > Settings General > enable Show Admin Crew.

Via web

After your administrator has assigned you as a manager of a group and you have signed in.

To clock in:

  1. Go to Time Entries, then select Timesheets and Add Time.
  2. Enter the team member's username, and select Currently working.
  3. Complete the remaining fields as needed, and select Save.
  4. Repeat for each team member.

To switch job or customer:

  1. Go to Time Entries, then select Timesheets.
  2. On a timesheet that displays Working, select edit.
  3. Clear Currently working, and select Save.
  4. In the Time Entries window, select Add Time.
  5. Enter the team member's username, and select Currently working.
  6. Complete the remaining fields as needed, and select Save.
  7. Repeat for each team member.

Via Android

To clock in:

  1. Tap Crew or More, then select Crew.
  2. Select your crew or individual team members.
  3. Tap Clock In.
  4. If shown, tap Select Job or Select Customer, select one from the list, and tap Clock In again.

To clock out:

  1. Tap Crew or More, then select Crew.
  2. Select your crew or individual team members.
  3. Tap Clock Out.

To switch jobs or customers:

  1. Tap Crew or More, then select Crew.
  2. Select your crew or individual team members.
  3. Tap Clock In.
  4. Tap Select Job or Select Customer, choose a different job code or customer, and tap Clock In again.

To take a break:

  1. Tap Crew or More, then select Crew.
  2. Select your crew or individual team members.
  3. Tap Clock In.
  4. Tap Select Job or Select Customer, under Breaks, choose a break, and select Clock In.
    Note: It takes approximately 30 seconds for the break status to sync with the QuickBooks Time web (computer) app.

To end a break:

  1. Tap Crew or More, then select Crew.
  2. Select your crew or individual team members.
  3. Tap Clock In.
  4. Tap Select Job or Select Customer, select the job or customer, and tap Clock In.

Via iPhone or other IOS device

To clock in:

  1. Tap Crew or More, then select Crew.
  2. Select your crew or individual team members.
  3. Tap Clock In.
  4. If shown, tap Select Job or Select Customer, select one from the list, and tap Clock In again.

To clock out:

  1. Tap Crew or More, then select Crew.
  2. Select your crew or individual team members.
  3. Tap Clock Out.

To switch jobs or customers:

  1. Tap Crew or More, then select Crew.
  2. Select your crew or individual team members.
  3. Tap Clock In.
  4. Tap Select Job or Select Customer, choose a different job code or customer, and tap Clock In again.

To take a break:

  1. Tap Crew or More, then select Crew.
  2. Select your crew or individual team members.
  3. Tap Clock In.
  4. Tap Select Job or Select Customer, under Breaks, choose a break, and select Clock In.
    Note: It takes approximately 30 seconds for the break status to sync with the QuickBooks Time web (computer) app.

To end a break:

  1. Tap Crew or More, then select Crew.
  2. Select your crew or individual team members.
  3. Tap Clock In.
  4. Tap Select Job or Select Customer, select the job or customer, and tap Clock In.

Via other Smartphone

  1. On your smartphone, open a web browser.
  2. Go to your QuickBooks Time account, and follow the instructions in Via Web.

Via text

Before clocking in for the first time:

  1. Make sure your administrator has added your mobile number to your QuickBooks Time profile.
  2. Obtain your username and team or company QuickBooks Time URL from your administrator.
  3. Start a text message to your company's assigned 10-digit phone number.

Notes:

  • The shortcodes shown below are created by your team or company administrator.
  • If your team or company uses custom fields (such as for fuel expenses or mileage), the commands below are the same, however after entering the job or customer shortcode, you must include either a line break (return) or a period padded by a space on both sides. (For example, t in cm . lassocriminals . billable @wonderwoman @batman)
  • In the commands below, using the initial t is optional, except if the command contains a shortcode.
  • Be sure to include the spaces as shown below.

To clock in:

  1. Start a text message to your company's assigned 10-digit phone number.
  2. Clock in using one of the following formats:
    • To clock in only: t in @username1 @username2
    • To clock in with a job code or customer: t in shortcode @username1 @username2 (For example, t in cm @wonderwoman @batman)
    • To clock in with a job code or customer and custom field: t in shortcode, add a space, add a period (.), add a space, advancedtrackingfield, add a space, @username1 @username (For example, t in cm . crime fighting @wonderwoman @batman)
    • To clock in with a job code or customer and a set time: t in shortcode @username1 @username2 at 0800 (For example, t in cm @wonderwoman @batman at 0800)
      Note: the set time, at [0000], must be at the end of the text.

To switch job code or customer:

  1. Start a text message to your company's assigned 10-digit phone number.
  2. Switch by doing one of the following:
    • To switch only: t switch newshortcode @username1 @username2 (For example, t switch cm @wonderwoman @batman)
    • To switch with a custom field: t switch newshortcode, add a space, add a period (.), add a space, advancedtrackingfield, add a space, @username1 @username2. (For example, t switch cm . crime fighting @wonderwoman @batman)
    • To switch with a job code or customer at a set time: t switch newshortcode @username1 @username2 at 1200 (For example, t switch cm @wonderwoman @batman at 1200)
      Note: The set time, at [0000], must be at the end of the text.

To clock out:

  1. Start a text message to your company's assigned 10-digit phone number.
  2. Clock out by doing one of the following:
    • To clock out only: t out @username1 @username2
    • To clock out with a job code or customer: t out shortcode @username1 username2 (For example, t out cm @wonderwoman @batman)
    • To clock out with a job code or customer at a set time: t out shortcode @username1 @username2 at 1700 (For example, t out cm @wonderwoman @batman at 1700)
      Note: The set time, at [0000], must be at the end of the text.
