Track and manage QuickBooks Time in QuickBooks Online

If you want your team to track their own time, they can track their time in QuickBooks Workforce.

Track and manage employee timesheets in QuickBooks Online Essentials and QuickBooks Online Plus. If you use QuickBooks Time, time tracked or edited there will appear in the Time tab and vice versa.

Note: If you use Payroll in QuickBooks Online, these options aren't available. Instead, track time in QuickBooks Time directly.

View time

  1. Go to Time (Take me there) and select Time entries.
  2. From the dropdown, select Customer, or Employee.
  3. Adjust the displayed date range if necessary.
  4. Select an individual customer, or employee to see the timesheet details.
  5. Customise what columns you see on the timesheets by selecting the gear icon under Total Hours.

Add time

  1. Go to Time (Take me there) and select Time entries.
  2. Select Add time, and choose an employee or contractor.
  3. Adjust the date range if necessary and select a day.
  4. Add the duration of hours worked, or turn Start/end times on to enter a start time and end time for that day.
  5. Select Add work details to add a customer or project, and any other applicable options, then Done.
  6. Select Add to add more timesheets for that employee.
  7. Select Save or Save and Close.

Edit time

  1. Go to Time (Take me there) and select Time entries.
  2. From the dropdown, choose Customer, or Employee, and adjust the date range if necessary.
  3. Select an individual customer, employee, or contractor to open the applicable timesheets.
  4. Select Edit next to any timesheet.
  5. Make your edits and select Save.

If you also have QuickBooks Time

If you use QuickBooks Time, you can also approve timesheets from QuickBooks Online. Or, open QuickBooks Time for more time tracking options. 

Approve timesheets

  1. Go to Time (Take me there) and select Time entries.
  2. Select Approve time.
  3. Select the Needs review tab.
  4. Select the timesheet you want to approve.
  5. Make sure all the info is correct, then select Approve (name)’s time. You can also select Approve all employees if everything’s good to go.

Launch QuickBooks Time

  1. Go to Time (Take me there), or go to Time entries.
  2. Select Launch QuickBooks Time to launch your QuickBooks Time account.
