Connect your workforce app to get payroll and time insights

Understand how labour drives your costs and performance in QuickBooks Online Advanced. Connect your workforce apps and see payroll and time metrics like labour costs, utilisation rates, and overtime alongside your financial data.

Data flows one way from your workforce apps into your Intuit product. Your data in Gusto and Clockify stays exactly as it is. Changes made in Intuit products won’t affect anything in your workforce apps.

Supported workforce apps

You can connect any of these workforce apps:

Gusto: Sync payroll costs, hours worked, headcount, and employee data
Clockify: Sync hours worked, headcount, and employee data

What you can track

Once you connect your workforce app, you can track these key performance indicators (KPIs) in QuickBooks Online Advanced:

Payroll KPIs

KPI	What it tells you
Payroll Cost	Total payroll expenses.
Labour Cost Percentage	Payroll as a share of revenue.
Payroll Cost Ratio	Payroll relative to other expenses.
Payroll Cost per Employee	Average cost per team member.
Labour Costs	Overall labour expenses.
Overtime Cost %	Overtime as a share of payroll.
Revenue per Employee	Income generated per team member.
Revenue per Billable Hour	Income per hour worked.
Cost per Hire	Expense to bring on new employees.
Time to Hire	How long it takes to fill positions.
Employee Turnover Rate	How often employees leave.
Employee Retention Rate	How well you keep employees.
Average Headcount	Typical number of employees.

Time KPIs

KPI	What it tells you
Billable Hours	Hours you can charge to clients.
Utilisation Rate	Billable hours as a share of total hours.
Realisation Rate	Billed hours compared to worked hours.
Absence Rate	Time employees are out.
Overtime Rate	Hours worked beyond regular schedules.
Employee Capacity Utilisation Rate	How fully you use available capacity.

Connect your workforce app

Go to Reports and select KPIs (Take me there).
Select Manage KPIs.
Find a KPI with Connect data source and select it.
Select your workforce app (Gusto or Clockify).
Sign in to your workforce app account and authorise the connection.
Select the metrics you want to bring into QuickBooks Online Advanced.

Go to Reports and select Dashboards (Take me there).
Find a payroll or time dashboard template.
Select Connect data source to sign in to your workforce app account and authorise the connection.
Select the metrics you want to bring into QuickBooks Online Advanced.

Use your workforce data

After you connect, your workforce data appears in several places:

KPI Library: View and track individual metrics
Dashboards: Build custom views that combine workforce and financial data
Custom KPIs: Create your own metrics using payroll and time variables
Prebuilt dashboards: Time and payroll dashboards automatically populate with your data

Your data refreshes every hour, so your dashboards stay up to date with your latest workforce activity. Every synced record is tagged with its source, so you always know where your data came from.

Workforce data is kept separate from your QuickBooks financial data. It's available for reports, dashboards, and KPIs, but doesn't mix with your accounting records. This means HR and finance can work from the same source of truth to spot risks and make decisions based on complete information.
