Change company name, address, email address, or CRN

For security reasons, we do not change company information or personal e-mail addresses for you. You can change your information by logging into QuickBooks Online and following these steps.

It's quick and easy to change your company name, address, email or CRN in QuickBooks Online.

To Change the Company Name:

If you have recently changed your company name, you will need to update it in several places in QuickBooks Online:

  • Company name  ("Doing business as" name or "Trade Name" - how your customers recognize the company)
  • Legal name (Name used to communicate with the government. - If left blank, the Company Name will be used).
  • Email Messages
  • Location List (QuickBooks Online Plus Only)

Company name

  1. Go to the Gear Icon and click Account and Settings
  2. Click Company Name and update the Company name field.
  3. Click Save
  4. Click Done

Legal name

  1. Go to the Gear Icon and click Account and Settings
  2. Click Company name and update the Company name field.
  3. Click Save
  4. Click Done

Email Messages

  1. Go to the Gear Icon and click Account and Settings
  2. On the side menu click Sales, select Messages and then fill out the info.
  3. Make sure the correct company name is listed within the Subject: and Message: boxes. If it's blank, click Use Standard Message to prefill with your new company information and change as needed.
  4. Click Save.

Location List (QuickBooks Online Plus Only)

  1. Go to the Gear Icon and click All Lists.
  2. Click on Locations.
  3. From the menu select to highlight the Location you would like to change the company name on.
  4. Click the drop-down arrow in the Action Column, then click on Edit.
  5. Under the section titled: This location has a different company name when communicating with customers. change the name in the Title: field.
  6. On the right, click Save.

To initially set up your company's contact information Click the Gear icon > Account and Settings

You can change the company address or e-mail address QuickBooks Online uses to contact you on the Your Account page.

  1. Click the Gear icon > User Profile
  2. Use the Edit link to edit the necessary information.
  3. Click Save and Done.

To Change the Email Address:

  1. Click the Gear icon > Account and Settings
  2. On the left menu, click Company
  3. Click Contact Info.
  4. Click the into the Company Email field and change the email address.
  5. Click Save Changes.

To change a direct personal contact email address:

  1. Click the Gear icon > Manage Users.
  2. Select your name, then click Edit.
  3. Click the into the Email Address field and change the email address.
  4. Click Save.

Important Note: Changing the personal contact email address in Manager Users is for your company internal use only and does not change the email associated with a login, how QuickBooks Online contacts the user of that login, or transfer a login (i.e. primary admin). If you want to change the email address associated with your user ID and password information for login, please see Change User ID and Password. To transfer the primary admin role, see Transfer the primary administrator role.

To Change the Companies House Registration Number (CRN):

  1. Choose Gear icon > Account and Settings. 
  2. From the list on the left click Company.
  3. Click Companies House Registration Number (CRN).
  4. Enter or edit your CRN.
  5. Click Save.
