Change invoice or transaction numbers in QuickBooks

QuickBooks automatically assigns a number to invoices and other sales forms when you create them. These numbers help you easily identify transactions.

If you prefer, you can use your own numbering system by turning on Custom Transaction Numbers, which lets you set your own invoice and sales numbers.

Note: You cannot change numbers for Statements or Purchase Orders. Separate number sequences are used for:

  • Invoices, sales receipts, refund receipts, and credit notes
  • Charges and credits
  • Estimates

Select the Gear icon and choose Account and Settings (or Company Settings if using the Accountant module).

To enable custom numbers on sales forms:

  1. Select Sales from the left menu.
  2. Click the edit icon for Sales form content.
  3. Tick the Custom transaction numbers checkbox.
  4. Select Save.
  1. Select + New or + Create.
  2. Choose Invoice (or any other sales form you need).
  3. Complete the form as usual.
  4. Click the Invoice no. field on the right and enter your preferred number.
  5. Click Save.
  1. Enable Custom transaction numbers and Save.
  2. Create a transaction with your new starting number.
  3. To return to automatic numbering, clear the Custom transaction numbers checkbox and Save.
