
Organise products and services into categories in QuickBooks

Learn how to group your products and services into categories in QuickBooks Online to keep them organised and make reports easier to understand.
Create a category
Use categories to group items of the same type. If you want to be more specific with grouping items, you can also create sub-categories.
Follow this link to complete the steps in product
- Select the More ▼ dropdown, then Manage categories.
- Select New category, then enter the name of the category.
Note: If you need a create a sub-category, select the Is a sub-category checkbox, then select the main category from the â–Ľ dropdown. - Select Save.

Add a new product or service to a category
You can select a category when you add a new stock product, service, or non-stock product.
Add an existing product or service to a category
If you have an uncategorised item, here’s how to add it to a category.
Follow this link to complete the steps in product
- Find the product or service you want to categorise.
- Select Edit from the Action column.
- Select the Category â–Ľ dropdown, then select one that fits this item. Or select Add new to create a new one.
- Select Save and close.
Use categories in transactions
When creating invoices, sales receipts, or other transactions, use categories to quickly find items.
If you’d like categories to show on customer forms, you can customise your sales forms.

Categories make your reports clearer by grouping items together.
- Run sales or stock reports to see totals by category.
- Expand or collapse categories to focus on the details you need.
- Spot trends by seeing which categories sell the most.
Edit or remove a category
Follow this link to complete the steps in product
- Select the More ▼ dropdown, then Manage categories.
- Select Edit from the Action column.
- Make the changes you want and select Save. Or select Remove, then OK.
