Invite an accountant to review your accounting in QuickBooks Online

Learn how to add or remove your accountant in QuickBooks Online.

Your accountant can be your best work partner. You can give your accountant access to your QuickBooks Online company file and accounting info. This lets them review your books, make corrections, and fix any tricky transactions. It also makes it easier to collaborate, especially during tax season.

This gives your accountant access to your books and accounting info. They also have accountant-specific tools to help them with their reviews.

Note: If you cancel your QuickBooks Online subscription after you send the invite, your accountant won’t be able to accept the invite or connect to your company file.

Invite an accountant

  1. Sign in to QuickBooks Online as a master admin.
  2. Go to Settings ⚙ and select Manage users.
  3. Select the Accounting firms tab.
  4. Select Invite.
  5. Enter your accountant's info and select Save.

QuickBooks emails an invite to your accountant. The email has steps for how to connect your accounts. If your accountant doesn't have QuickBooks Online Accountant, there's also a link for how to sign up.

You can invite up to two accountants.

Note: Regular accountant users don't count toward your user limit. However, if you also make your accountant your company’s master admin, they will count.

What does this mean to you?

  1. If you invite your accountant and they already have a QuickBooks Online for Accountants (QBOA) subscription, they'll get a link to access your QBO company.
  2. If you invite your accountant and they don't have a QBOA subscription, they'll have a chance to sign up when you send them this invitation. Signing up is free and allows them access to your QBO company at no cost to you.
  3. Your accountant will have access to all of the features available in your version of QBO.
  4. You can invite up to two accountants.
  5. What does this mean to you?

  6. Accountant users have additional privileges that allow them to undo entire reconciliations, reclassify transactions and write off invoices.

Remove an accountant

If you don't want your accountant to have access to your books anymore, you can remove them:

  1. Sign in to QuickBooks Online as a master admin.
  2. Go to Settings ⚙ and select Manage users.
  3. Select the Accounting firms tab.
  4. Find the accountant you want to remove.
  5. Select the small arrow dropdown ▼ in the Action column and then Delete.
  6. Select Delete to confirm.
