Add and manage suppliers in QuickBooks

Take control of your costs and keep your expenses organised.

Adding your suppliers makes it easy to track every penny and provides real-time insights into exactly what you owe. When your supplier list is set up, you can record outgoings in seconds and see your full spending history whenever you need it most.


Add a new supplier

It only takes a moment to add a new contact.

Having your suppliers ready in QuickBooks means you'll never have to type their details twice, helping you manage your outgoing cash more effectively.

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Expenses & Bills, then select Suppliers (Take me there).
  2. Select New supplier.
  3. Fill in the supplier’s details.
  4. Select Save.

Great work, your supplier is saved. Now that they're on your list, you can create your first bill or expense for them to keep your costs tracked in real-time.

Save admin time by importing your list.

If you have an existing list of suppliers in Excel or CSV format, you can upload them all at once to avoid manual data entry and get your accounts running faster.

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Expenses & Bills, then select Suppliers (Take me there).
  2. Select the dropdown ▼ next to New supplier and select Import suppliers.
  3. Select Browse, locate your Excel file.
  4. Select Next.
  5. Match the fields in your spreadsheet to the fields in QuickBooks.
  6. Select Next.
  7. If everything looks right, select Import.

Add a supplier on the go (Mobile App)

You can add suppliers directly from your iOS or Android device using the QuickBooks mobile app. The steps are nearly identical across platforms.

  1. From the Menu ☰, tap Expenses, then tap Supplier.
  2. Tap the plus icon +.
  3. Enter the Supplier’s information.
    • On iOS, tap Save.
    • On Android, tap Done.

Manage your supplier list

Gain real-time insights into your business relationships.

Your supplier list is a powerful dashboard that shows you exactly where your money goes.

  • View history: Select a supplier’s name to see every payment and bill associated with them in one clear view.
  • Take action: In the Action column, select the dropdown ▼ to quickly pay a bill, record an expense or create a purchase order.
  • Clean up: If you no longer work with a supplier, select Make inactive to keep your list focused on your current business needs.
