Manage your ProAdvisor Preferred Pricing plan and ProAdvisor discount clients

Learn how to manage clients who are part of your ProAdvisor discount plan and review it's charges.

As a ProAdvisor, you can add clients to your ProAdvisor discount plan to get discounted rates on QuickBooks. Need to know which clients are already part of your ProAdvisor discount plan? Here's how to review your ProAdvisor discount plan and manage ProAdvisor discount clients.

See your ProAdvisor discount charges

Caution:
  • The number of clients displayed in this tab does not reflect all the accounts in your ProAdvisor discount but only the active accounts. The number of clients in your bills reflects both active and inactive account.
  • If you are not the primary admin with complete access, you will only see the clients which are assigned to you. Here is how to modify an employee access.
  • Remember that making a customer inactive doesn't cancel their subscription. It also doesn't remove them from your ProAdvisor discount plan (steps below). If you want to remove a client from your QuickBooks Accountant account, follow this article.
  1. In QuickBooks Online Accountant, go to Settings ⚙ and then Billing and subscriptions.
  2. Select the Billing details tab.
  3. Review your current and next bill.
  4. Review your payroll-specific expenses.
  5. In the Billing and payment history section, review your past bills.
Note: Not all clients are eligible for ProAdvisor discount. You can't add a client to your firm's billing if:
  • Their QuickBooks Online subscription is integrated with their QuickBooks Time subscription.
  • If you don't have full access to all clients on your firm the summary card will display the total clients as the total you have access to. The charge amount will include charges for all subscriptions.

Add a new client to your ProAdvisor discount plan

Here's how you can add new customers to ProAdvisor discount and start a subscription for them.

If your client already has a QuickBooks subscription, here's how to take over a client's direct billing.

Error PLT - 8000

The PLT - 8000 error message is when either the country or phone number is missing from the company settings.
These sections will need to be competed to allow the billing to be updated.

Error - 81511

The - 81511 error message is a decline error message that is happening between the customers bank and our processor based on the information the customer puts into the system. Please have the customer validate the billing information and ensure that it is correct. If it is correct, the customer will either need to contact their bank to allow the charge, or use a different card.

Error - 81624

Something's not quite right. Please update your payment information and try again. If the issue persists, please contact support. This message (Error code - 81624) might be due to payment authorisation failed.
Customer needs to either use a different credit card or contact their financial institution (bank) to understand why they are not relinquishing the funds.

Add a client to a bureau license

  1. In QuickBooks Online Accountant, go to the Clients menu.
  2. Find the client and select Edit client on the license you wish to use.
  3. Change the placeholder name to the client’s name and then select Save.
  4. Once the client’s name has been changed, select the Go to QuickBooks link in the toolbar to go into the client’s QuickBooks Online file, and change the company name within the license.
  5. If you want to add the client, ask them to invite you to become their accountant by going to Settings ⚙, then Manage users

Review your ProAdvisor discount clients

To check a client's company name, subscription status, and product they're using:

  1. In QuickBooks Online Accountant, go to Settings ⚙ and then Billing and subscriptions.
  2. Select Accountant-billed subscriptions tab to review your ProAdvisor clients.

You can expand the client account to see a breakdown of the charges associated with the client and the plan they are on.

Change a ProAdvisor discount client's QuickBooks subscription

Here's how you can upgrade or downgrade a clients' QuickBooks Online subscription.

Remove a client from your ProAdvisor discount plan

When you remove a customer from your plan, they'll start paying for their subscription themselves. Their subscription won't be the same rate you paid since you got a ProAdvisor discount. Removing clients doesn't impact their accounting data in any way.

  1. If you haven't already, make your client the primary admin of their company file.
  2. In QuickBooks Online Accountant, go to Settings ⚙ and then Billing and subscriptions.
  3. Select Accountant-billed subscriptions tab.
  4. Select the client you want to remove.
    Note: If the client is currently inactive, make them active first.
  5. From the Select action▼dropdown, select Transfer billing to client.

After you remove a client, they have read-only access to their QuickBooks company until they update their billing info. They can see their accounting data, but can't make changes.

Self-migrate out from accountant-billed plans

Your clients can choose to remove themselves from the accountant-billed subscription plan and start paying for their subscription themselves. You'll be notified via email if your client makes this change. 

Notes:

  • Your client must be the primary administrator in the account to perform these steps.
  • When your client migrates out from accountant billing, their account will become inactive and they'll need to resubscribe.
  • Promotional discounts that apply to the rest of the subscriptions in your bundle will not be affected.
  • If your client changes their mind, you can add them back to your wholesale discount plan.

If I purchased a bundle of subscriptions as part of a promotion and my client transfers their subscription to direct billing, will my discounts be affected? 

No. If your client initiated the transfer of billing, the promotional discounts that apply to the rest of the subscriptions in your bundle would not be affected. Please reach out to your account manager if you have any further questions about promotional discounts and pricing.

If my client transfers to direct billing, will they be made aware of current retail pricing for QuickBooks Online?

When your client transfers billing in QuickBooks Online they will be presented with the current retail pricing for their plan.  They will need to enter in their credit card information to pay and accept the monthly subscription cost.

I’ve provided instructions to my client but they are unable to transfer billing in QuickBooks Online.

Please ensure that your client is a primary admin user by following the steps outlined here.

Can my clients change their mind?

If your client changes their mind after transferring to direct billing, they can return to ProAdvisor discount pricing. Your client will need to give you permission to take responsibility for paying all invoices for the subscription over billing by following the steps outlined here

Can my clients remove themselves from ProAdvisor discount plan?

If they are the primary admin, they can choose to break off from ProAdvisor discount anytime. They'll need to access the Billing & Subscription tab under their settings to do that.

  1. In QuickBooks Online Accountant, go to Settings ⚙ and then Billing and subscriptions.
  2. Choose the Accountant-billed subscriptions tab.
  3. Expand the client account.
  4. From the Select action ▼ dropdown, select Cancel.
  5. Review cancellation request screen, then select Continue. Complete payroll cancellation questionnaire for pending payroll actions.
    • Note: Be sure to read the options provided and select the radio button that will best handle your tax needs. If no payroll has been run, there will be no pending actions options.
  6. Select Confirm cancel, then Got it. Complete optional cancellation feedback survey.
    • Note: You select skip survey to bypass the survey. The account will now reflect Cancellation scheduled.
