Convert an estimate into an invoice

Create an estimate
If you are using the new invoice layout:
The steps to convert an estimate to an invoice are slightly different depending on whether you have the new or old experience of estimates and invoices.
- Select +Â New or + Create.
- Select Estimate.
- Select Add Customer. Then select a customer from the ▼ dropdown. Or, to add a new customer, select + Add new, enter the customer info and select Save.
- Select the ▼ dropdown in the Product/service field and add the products or services to the estimate. Or, to add a new product or service, select + Add new, enter the info for your product or service and select Save and close.
- If you saved a rate for your product or service, it automatically displays in the Amount column. Add or adjust the quantity or amount as needed.
- To customise the estimate, select âš™ Manage and select the dropdown â–Ľ on the section you need to customise. Then, select what info displays on your form by turning the switches on or off in each section. As you make changes, a preview displays on the form.
- The default status of a new estimate is Pending. If you need to edit the status, select the Pending â–Ľ dropdown and select a different status. Â
- When you're ready, select Save. Â
- To email the estimate to your customer, select Review and send. Then edit the email message, if necessary, and select Send estimate.
If you are using the old invoice layout:
- Select +Â New or + Create.
- Select Estimate.
- Select a customer from the Customer ▼ dropdown, select + Add new, enter the customer info, and select Save.
- If the work has already started, select a status from the Pending â–Ľ dropdown. This is optional. Â
- Select the Estimate date and the optional Expiration date.
- Enter the products or services you plan to sell.
- Enter any other info you need.
- When you're ready, select Save or Save and close.
Convert an estimate to an invoice
If you are using the new invoice layout:
- Follow this link to complete the steps in product
- Find the estimate.
- In the Action column, select Convert to invoice.
Note: Convert to invoice may be located in the dropdown ▼ under Action column depending on the status of your estimate. - Select the option from the How much do you want to invoice? window, then select Create invoice.
- Make any necessary edits to the invoice.
- If you need to customise any invoice fields, select âš™ Manage and select the dropdown â–Ľ on the section you need to customise. Then turn the switches on or off to change what displays on the invoice. As you make changes, a preview displays on the form.
- When you're ready, select Save or select Review and send to email invoice to your customer. Then edit the email message, if necessary select Send invoice.
If you are using the old invoice layout:
- Follow this link to complete the steps in product
- Find the estimate you want to convert.
- Under the Action column, select View/Edit.
- Check the status of the estimate under the customer’s name. You can only convert an estimate with an Accepted or Pending status. If that’s the status, skip the below step.
- If the status is Closed or Rejected, select the â–Ľ dropdown. Â
- Select either the Accepted or Pending status.
- Select Create invoice.
- Select the option from the How much do you want to invoice? window, then select Create invoice.
- Make any updates to the invoice, if needed.
- If you’re ready to send the invoice to your customer, select Save and send. Or select Save and close if you want to send the invoice later.
Duplicate an invoice or estimate
If you are using the new invoice layout:
- Follow this link to complete the steps in product
- Find the invoice or estimate you want to copy.
- In the Action column, select the dropdown â–Ľ, then select Duplicate.
- Edit the invoice or estimate as needed, then select Save or Save and close.
If you are using the old invoice layout:
- Follow this link to complete the steps in product
- Find the invoice or estimate you want to copy and select View/Edit.
- Select More, then select Copy.
- Edit the invoice or estimate as needed, then select Save or Save and close.
Create an estimate
- Select + New and select Estimate.
- Select Add Customer. Then select a customer from the ▼ dropdown. Or, to add a new customer, select + Add new, enter the customer info and select Save.
- Select the ▼ dropdown in the Product/service field and add the products or services to the estimate. Or, to add a new product or service, select + Add new, enter the info for your product or service and select Save and close.
- If you saved a rate for your product or service, it automatically displays in the Amount column. Add or adjust the quantity or amount as needed.
- To customise the estimate, select âš™ Manage and select the dropdown â–Ľ on the section you need to customise. Then, select what info displays on your form by turning the switches on or off in each section. As you make changes, a preview displays on the form.
- The default status of a new estimate is Pending. If you need to edit the status, select the Pending â–Ľ dropdown and select a different status. Â
- When you're ready, select Save. Â
- To email the estimate to your customer, select Review and send. Then edit the email message, if necessary, and select Send estimate.
Convert an estimate to an invoice
- Go to Get paid and select Estimates.
- Find the estimate.
- In the Action column, select the dropdown ▼ and then select Convert to invoice.
- Select the option from the How much do you want to invoice? window, then select Create invoice.
- Make any necessary edits to the invoice.
- If you need to customise any invoice fields, select ⚙ Manage and select the dropdown ▼ on the section you need to customise. Then turn the switches on or off to change what displays on the invoice. As you make changes, a preview displays on the form.
- When you're ready, select Save to save the invoice, or select Review and send to email the invoice to your customer.
Duplicate an invoice or estimate
- Go to Get paid and select Invoices or Estimates.
- Find the invoice or estimate you want to copy and select View/Edit.
- Select More actions, then select Make a copy.
- Edit the invoice or estimate as needed, then select Save or Save and close.
