Hey. My invoices are being marked as paid on creation. Not sure what's happening here? Any ideas?

We've got some troubleshooting steps we can perform to stop automatically marking the invoices as paid in QuickBooks Online (QBO), chelcierowe.

It could be the Automatically apply credits feature was enabled making the newly-created invoice automatically marked as paid. This feature will automatically apply payments to the new invoice and mark it as paid if your customer has a credit balance. We can turn off the feature to avoid this from happening in the future. Here's how:

  1. Go to the Gear icon on the top menu and select Account and Settings.
  2. Click Advanced from the left menu and hit the Automation section.
  3. Toggle the Automatically apply credits option to turn it off.
  4. Press Save, then Done.

To learn more about how and when to give a credit note or delayed credit to customers, you can check out this article: Create and apply credit notes or delayed credits in QuickBooks Online.

Once done, let's open the created invoice marked as paid and delete the applied payment. This way, it'll mark the invoice as unpaid.

  1. Click Sales from the left menu, then find the newly-created invoice.
  2. Select the 1 payment link at the upper right-hand above the PAID payment status.
  3. Hit the date link.
  4. On the Receive Payment page, select the invoice.
  5. Tap More at the bottom and select Delete, then press Yes to confirm.

Once you want to keep track of invoices paid by your customers, you can refer to this article to record the payment: Record invoice payments in QuickBooks Online.

Moreover, you can visit this article on what to do in QuickBooks when a customer overpays you: Handle a customer credit or overpayment in QuickBooks Online.

We are always available to assist you with tailoring invoices. If you need further help with the customer payments or any QuickBooks-related concern, please reply to this thread. Have a great day ahead, chelcierowe.
