Is it possible to remove customers total money owed from every invoice? It doesn't update when previous invoices have been settled and is very confusing to customers.

Every invoice i send shows a total balance owed by the customer at the time of the most recent invoice and is very confusing for the customer, i just wish to remove that from my invoices and show the cost of the invoice i am sending at that time.

Thank you for reaching out, Liam. I acknowledge your concern about displaying the total money owed on invoices and am here to help clear up any confusion for you and your customers.

The total balance on your invoices shows a detailed summary of the customer’s account, including past balances and recent payments, called the Account Summary. Follow these steps to turn off this feature to display only the current charges:

  1. Go to the Gear icon and select Custom Form Styles.
  2. Choose the invoice template you are using and click Edit.
  3. Navigate to the Content tab and click the Description section.
  4. On the Account Summary page, uncheck the Show on Invoice box.
  5. Click Done to save your changes.

This modification will ensure that only the current invoice amount is displayed, eliminating any confusion for your customers regarding total balances.

However, if your invoice balances are not updating correctly after payments, make sure they are associated with the correct invoices. Let us review the payment entries to ensure accuracy.

  1. Go to the Sales menu and select the All Sales tab.
  2. Find the payment for the customer in question and click View/Edit to open the transaction.
  3. Make sure you choose the correct invoice from the outstanding transactions list on the Receive Payment page.
  4. Click Save and Close once confirmed.

Additionally, if you record payments through Bank Deposit, link that deposit to the right customer and invoice.

Furthermore, consider using this resource for valuable tips on improving your financial management and ensuring accuracy: Reconcile an account in QuickBooks Online.

We appreciate your time and cooperation, Liam. Please let us know if you need more help with your deposits, invoices, or anything else. We are here to help you.
