Report for monthly total from directors loan account

Hi, I wondered if anyone knows the quick way to set up a report that shows the monthly total spend/receipt in a directors loan account (I don't want the balance I was the total of the transactions by month).  I want to show this to a client month by month to monitor spend so its basically a bit like a monthly P&L report but just for the directors loan account.  I want to be able to run it regularly - any help on which report to customise would be great.  Thank you.

I'm here to share additional information on how to open a report for the director's loan account.

I suggest running a QuickReport to quickly see the transactions for a specific account. 

Here's how:

  1. Go to Accounting.
  2. Select Chart of Accounts.
  3. Choose the Director's loan account.
  4. Click the drop-down arrow, beside the view register.
  5. Hit Run report.

 

EDIT- You can also run the transaction detail by account report. There are some filter options. There are some limitations on that in some reports so you my need to export the transaction detail report and then remove any extra groups/accounts.


Additionally, I've added this article that'll help you on how to export a report: Export your reports to Excel from QuickBooks Online.

HI There,

 

if you want all the transactions for a month, for a single account, every month, then you can go to reports for my Accountant, the  "transaction detail by account" report

 

Then you can choose, for instance, last month for the dates and then customise the report to only include the directors account. Once you get what you want in the report through customisation then use save customisation with a name like "monthly director's loan" 

 

You can then access the customised report in the Custom report section under reports.

Hello - thank you for your response.  So it works in part I can run a transaction detail report by account and can select all and it currently gives me everything.  However when I select only the directors loan account it doesn't show in the report - but the items that are in the account do show in the full report - why would this be?

I've just tried this on a drawings account. This has a lot of Journal entries rather than normal transactions. However, when you choose just the single account it appears that the report doesn't include the Journal entries!  You could export the full report to excel and then filter just that account. Not ideal I know.

 

Are all your entries to the loan account journal entries?

 

This is a BUG that QBO will need to resolve. It's very odd behaviour, that the Journal entries show for all accounts but not for a single account. You can even select the transaction type of Journal for all accounts and it just shows the journals, but as soon as you add a filter for the single account the report returns no data. 

 

Will report it to Intuit as I'm concerned that there maybe other report where this happens.

Hi there,

whilst looking at this I used the report "Transaction detail by account" which is more apt for the issue. When this is run as defaulted for all accounts the system shows all entries for all accounts for a date range. 

 

If you change to report on a single account for the same data range the report does not show all the transactions? For a start it doesn't show any journal entries. This is a big problem for account analysis. 

 

Can you pass this on to the developers? I have raised a Feedback as well.
