Change donors to customers

Hi, we are a registered charity.  Can someone please explain if there is a difference between donors and customers?  All I'm wanting to do is create invoices for hirers of our Community Centre.

In QuickBooks Online, donors and customers/clients are the same. Non-profit organisations often use slightly different terms when running a business, acquiring new money-in, paying vendors, and viewing reports. Their customers are called donors. Also, invoices are called pledges.

 

You can process invoices through the Create menu (+) and select Invoices (Pledges). Then, enter the customer's (donor's) name and other needed information.

In the UK, customers and donors are two very different categories even with charities. 

Donors are people who give money, customers are people who buy the goods/services offered by the charity. So it's very confusing to have to use the 'Donors' category in QB for 'Customers'! Is there no way of changing the category 'Donor' to 'Customer'?

I appreciate the additional information about donors and customers. Currently, the option to change the customer label is only available in United States region. I'd recommend sending feedback to our Product Development Team to add this to other regions. They always take your suggestions into consideration when updating the product. You can click the Gear icon () and select Feedback.

 

As a workaround, we can use class or location categories to keep track of the donations and sales/income. You can use this article for your reference: Turn On Class Tracking or Location Tracking In Settings.

Hello svill907,

 

For US QuickBooks Online users, here's how you can change the customer label:

  1. Click the Gear icon in the upper-right corner and select Account and Settings.
  2. Select the Advanced tab and go to the Other preferences section.
  3. Edit the Customer label field.
  4. Click Save and Done.

I work for a nonprofit where we have donors and customers. What my question is, when I click on Donations (Sales Receipts in the Non-Profit menu) it will bring up the pledge A/R account and the form for a pledge. But when I close that and then open Sales Receipts under the Customer menu, it doesn't change to the correct A/R & form. This also happens with payments. Why have two different menus if they don't mean anything?

Thanks for your message - You can click on "customise" at the bottom of the sales force, and select the correct form - I'm not sure why isn't not selecting the correct one immediately - have you got one set as a master or a default? Is it the default that's loading up every time?

Hi, so I am going to add to the complication here.  We also have a mix of true donors and true customers.  It looks like your instructions are only to change the label but not to actually classify individuals as either donors or customers.  So, the problem is, when I run contribution statements at the end of the year I don't want to include any customer transactions when I run statements, only donor transactions.  How do I do this if QB Online can not distinguish between customer and donor?  Is there a way to run statements only for specific products or services?

You can turn on the class tracking to categories the donor and customers in QuickBooks.

 

Here's how:

  1. Click the Gear icon.
  2. Select Account and Settings.
  3. In the navigational bar, click Advanced.
  4. Select Categories.
  5. Check off Track classes to turn on class tracking.
  6. Click Save and then Done.

Once done, let's run either the Customer Detail Report or Sales by Class Detail report to classify the customers or donors.

Thanks but that doesn't solve my problem.  I know how to filter out the customers in reports by using the product/service that was purchased.  However, at year end I have to issue a statement to each donor showing how much they donated to the organization. 

 

To do that I go to Sales>Donors I select all of my donors and then under batch actions I select "create statements".  This allows me to create all of my statements at once.  However, there is no way that I can see to filter out the actual customers since they are all classified as donors....I can't issue the customers a contribution statement since those were not contributions and are therefore not tax deductible. 

 

The only two solutions I have found are to individually print every contribution statement which is not practical when there are over 100 donors.  Or, print out all of the statements and compare them to a report filtered for donors and pull out any statements that aren't in the donor report.  Also, not very practical but not as time consuming as the former.  

 

I am really hoping that there is some trick I am unaware of to fix this issue.

At this time, Quickbooks Online is unable to identify which donors or customers with contributions you have on file.

 

This is a good idea, I’ll make sure our Product Developers will be informed about this. They're always looking for ideas to consider on how to improve QuickBooks.
