I am hoping for some guidance on how to invoice Clients for travel expenses (particularly mileage incurred) to and from a Client-site.
We already bill Clients for rail/flight/accommodation through transactions and assign the expenses to a Client. However, I'm at a loss as to how to assign car mileage to a Client.
Any guidance or best practice on how to do so (specifically for the UK), would be greatly appreciated.
We use QBO Plus, for reference.
Hi falsumconsult Thanks for reaching out to us here on the Community. As we're not accountants we're unable to provide you with advice on the above. We'd be grateful if you can locate and reach out to an accountant that specialises in QuickBooks for further assistance using the link below. There maybe an accountant/bookkeeper that views this post and will be able to help you here. https://quickbooks.intuit.com/uk/find-an-accountant/
Hi John,
Thanks for your response. We're pretty safe on the principle of billable expenses and our contracts with Clients are explicit.
I am looking at understanding the process within QBO for easily billing mileage to a specific-Client, rather than manually adding a 'Bill' (in the absence on an invoice for car mileage) to then assign to a Client.
Hi falsumconsult You could create a product and service relating to the mileage e.g. when you create the product/service you could enter the rate as 0.45 (45p/mile) in the sales rate field, create an invoice for the client, select the name of the product/service you created and enter the miles traveled e.g. 100 in the quantity column, this will create the an invoice amount of 45GBP.
As previously stated we're not accountants and any information that we provide should be qualified by a professional.
Was this ever answered? I am looking to bill clients for mileage too- but QBO doesn't seem to have an easy solution. The mileage doesnt link to any clients, I iput Mileage in TIme tracking and so far thats the only way i see it on an invoice.
I'm here to make it up to you and ensure you'll get the answer to bill clients for mileage in QuickBooks Online (QBO),@webkdel.
You can follow the suggestion provided by John C, but of course, you'll need to reach out to your accountant or a QuickBooks Certified ProAdvisor for verification. They can also guide you with an easy step or an appropriate process for billing your clients for mileage to ensure the accuracy of your business.
I've also added the following articles for additional information on managing mileage in QBO:
You can tag me in the comment section if you need further details about mileage. I'll get back to you as soon as possible. Have a good one!
