Client over paid - how to sort it out in QuickBooks online

Hi

 

Client paid £366.00 to cover her outstanding invoices (£179.16) and another clients invoice which was for £66.00.  

 

So the amount owed was : £245.16 but she overpaid by mistake so she is now owed £120.84 in refund (which I can do via BACS but haven't done yet)

How do I deal with all this in quickbooks online? I can see the £366 which has been pulled in from the bank but then it doesn't like it when I try and do "match" as it doesn't add up so wants me to "resolve" which I don't understand.

You will need to go to the customer the payment relates to, select receive payment on one of the invoices, you can then select the other invoice and overwrite the amount received box with 366, when you select save and close it will create a credit on the customer account.

You will then have to create an expense, when you send the money back, select the create/plus icon in the top right hand corner of the screen, select expense, in the the top left hand corner ensure you select the customer you are sending the money back to, select the bank account the money is being debited from, the correct date the money was debited, in the category column select the debtors/accounts receivable account, enter 120.84 in the amount column and select No VAT in the VAT column, then save and close.

You will then be able to match the expense when the transaction appears in your for review page, if you have your bank connected to QuickBooks.

hmm...why is it showing this in my "open invoices" report? Have I missed a step out?
