Customer overpaid how do I handle this

I have a customer that pays £72 a month, one month they accidentally paid 10 x too much but said to leave it on the system so that the next 9 payments are covered, I just am not sure how to match the invoices to this amount as the are issued.

So at the moment I have the £720 payment sitting in my bank transactions, If I try to match one or two of the £72 it says something isnt right (because its not the full amount), so If I make a credit note for the overpayment I can't see how I then apply the invoices to that credit note, the only option next to the invoice is to receive payment but this doesnt seem to apply it to the credit note

Customer overpaid how do I handle this

Hi kevinneal,

I'm here to help you match the customer payment to their invoices.

In your scenario, we can match the invoice by clicking the Resolve Difference button. Then, add the resolving transactions (the total amount you received minus the invoice amount which is £72). To do so, you can follow these steps.

  1. From the Transactions tab, select Bank transactions.
  2. Click the tile of the bank.
  3. On the For review tab, select your customer's payment.
  4. Click Find match.
  5. On the Select transactions to match section, select the invoice.
  6. Scroll down, then toggle the Resolve Difference button.
  7. Select the customer's name as the PAYEE.
  8. Select an accounts receivable account.
  9. Click Save.

From there, you'll have to use the Receive payment feature whenever your customer pays for future invoices. Then, on that screen, the system will show their remaining credits.

Furthermore, I've added here an article on how to handle customer payments: Give the customer a refund or leave the overpayment as credit.

Don't be hesitant whenever you need help managing customer transactions.
