How to add a % increase to all products at once rather than individually.

I am trying to add a 5% price increase to all of my products in one go rather than having to adjust the price of every single item which would take ages! Google says I can use Price Rules but I see no options to add a rule depite following the steps on google. Can any one help please?

Many thanks

The Price Rules tool is exclusive to the Plus and Advanced subscriptions. If you're on a different plan, that's likely why those options aren't showing up for you just yet. To get that automated feature up and running, you might want to consider upgrading to a subscription level that includes it.

If you do decide to move to a compatible plan, I want to make sure you can find your way easily. You can now activate the feature by going to Settings > Account and Settings > Sales > Products and services > Turn on Price Rules > Save.

Once done, navigate back to your Settings menu and select All Lists. You'll see Price Rules listed under Product Categories. From there, you can set up that automated 5% increase for all your selected products and customers in one go. For a bit of extra guidance, this article is a fantastic resource: Set price rules in QuickBooks Online.

However, if you prefer to keep your current plan, I have a manual workaround that gets the job done just as well. You can create a specific service item named 5% Surcharge or something similar. When processing a transaction, just follow these steps:

  1. Insert a Subtotal line after all your items have been listed.
  2. Add the 5% Surcharge service item directly below that subtotal.
  3. In the Rate column, calculate 5% of the subtotal (Subtotal × .05) to apply the fee to the entire transaction.

I've also added a picture to serve as your visual guide:

This method results in the same total as adding 5% to each individual line item. You can check the example below:

  • Applying 5% to £1,000 (£1,050) and £500 (£525) separately equals £1,575.
  • Applying 5% to the combined £1,500 subtotal also equals £1,575.

Just a quick heads up, since this is a manually created service item, it will be visible to your customer on the invoice and will appear in your reporting as a separate service line.

Let me know which approach works best for you. Please feel free to reach out if you have any questions or need clarification regarding this method. We are always here to help. Have a great day!

You might be able to download the item list from QB to a spreadsheet, add a helper column to mulitply the sales price by 1.05, paste those figures into the Sales Price column and upload/import the items, ticking the box at the bottom of the upload summary to overwrite the items.

Test with one item first!
