MEMO field missing

In Sales - Customers - Transaction List there is a column called "MEMO".

This used to be visible when creating either an invoice or an estimate.

It was a great way of annotating invoices & estimates with a description of what it was for.

This was really useful since I could then see at a glance from Sales - Customers - Transaction List which invoice or estimate was for what.

Now the field has disappeared.

Any ideas how to get it back?

Hello, @lerxxst. I'm here to lend a hand.

The information displayed on the Customers Transaction List page depends on your filter. To ensure it'll show the data you need, let's check your settings.

Here's how:

  1. In the left menu, click Sales
  2. Go to the Customers tab.
  3. Choose Transaction List tab.
  4. Hit the Gear icon.
  5. Put a check-mark on the Memo box.

From there, the Memo column appears.

Hi Mirriam

Thanks for the reply.

Yes that field is ticked & visible in the Transaction List - but empty (apart from Auto-filled by GoCardless).

The issue is that the field is not visible/available when I create an invoice or estimate when it was previously.

See screenshot attached

Welcome back, @lerxxst.

Thanks for providing a screenshot and detailed information about your concern. It was super helpful, and I feel like we are on the same page.

The information that will show on the Memo column depends if you've entered a message on the Message on statement section on the Invoice or Estimate.

To isolate the issue, I recommend opening the transaction and check if there's a message on it.

If yes, open your QuickBooks Online (QBO) account using a private browser and check the memo column right after. Some function modules may be affected by outdated cache files, which can slow down and affect QuickBooks functionalities.

Here's how to open it:

  • Chrome: Ctrl+Shift+N
  • Firefox: Ctrl+Shift+
  • Safari: Command+Shift+N

If it works, then your main browser may have too much historical data from previously visited websites which causes this kind of behavior.

To ensure this doesn't happen again, it's a good idea to clear the cache of the browser you're using. The following article contains additional insight, as well as steps for the supported browsers: Clear cache and cookies to fix issues when using QuickBooks Online.

On the other hand, if there was no information entered on the Message on statement section, then, that is the reason why the Memo column is blank on the transaction.

Let me know how things go on your end and if you need other help in QuickBooks. I’m more than happy to help you. Have a great rest of the day.

MEMO field missing

Hi Team,

When I import bills from excel format into quickbooks and try to match it against the bank statement csv format. For the bill payment transactions the memo field does not import the required information and i have to manually enter the memo for each bill which is strenuous and time consuming even though the memo field is included in the excel format before importing. Does anyone have a solution to this problem ?

Hello there, crosario.

The data that will be imported from the uploaded CSV file into QuickBooks Online are the Date, Description, Category, amount Spent, or Received. While the ability to import the Memo of the bank transactions is unavailable, you can manually enter each memo to the imported transactions once they're in your bank feeds.

Hi Catherine,

Thanks for your prompt response. We import nearly 250 bills everyday and it is very time consuming to manually enter the memo. Is there another way to automate this step. Please help

Your convenience is important to us, Crosario. I want to share a few more details.

For now, you'll have to enter the memo manually, though. We're unable to do bulk enter of the info.

Let me add the article on how to review the downloaded transaction as a future reference: Categorise and match online bank transactions in QuickBooks Online.

We're around to help you. Reach out to us again if you have more questions. We'll reply as soon as we can.

Hi Team,

Is there a way to set a certain rule to categorize a repetitive transaction to a particular account. Quickbooks seem to do it for a few transactions, But not the rest of them. Is there a way to help improve efficiency as it takes alot of time to categorize each transaction and putting in the same debit account repetitively.

Please assist.

Attached below is an image of quickbooks not being able to categorize this transaction

Hi crosario You're able to create rules for transaction from the banking page.

Anybody know how I can get the "message on invoice" box to show up under my register....I see the "message on statement" can go under memo but what can I use for "message on invoice"

It's good to have you back here in the Community, @TAP20.

I'd like to shed some light regarding the functions of the Message on invoice and Message on statement on your sales forms.

The register will only display the Memo that you've entered on your bank transactions. Moreover, the reports will show the Memo/Description that you've added to the sales entry.

On the other hand, he information entered on the Message on invoice and Message on statement section can only be seen when you open the transactions. This will also show up on your customer's end upon ending the invoice.

To give you more details about the information that can be added on your reports together with the data that are displayed on your bank register, please check put these links:
