Receipt Capture (iOS app)

1a. Using the receipt capture mode on the iPhone app, what if the paper vat receipt is itemised and multiple pages long and I need to take several photos per the one transaction, what do I do? I need an easy solution on the iPhone incidentally, as I am often in transit, not a desktop computer / laptop drag-n-drop solution into the web browser. Can I not just take multiple photos on the app and then match them all to 1x banking transaction later?

 

1b. What's this thing about it automatically creates a new transaction if it can't auto-match it? Can I not manually match it and force it into not automatically creating an actual transaction?

 

1c. Why can't the photo just hang around in a sort of 'pending matching' area (like uncategorised banking transactions) until matched, this is surely what people need!

 

1d. As for then having to exclude the banking upload, to avoid duplication if doing it this way, this is absurd, it defeats the object of receipt matching. My banking uploads need to remain intact. It seems like this has all been really poorly thought-through.

 

2. Have they upped the ludicrously low 1MB limit per photo yet? Most cameras take over 1MB per individual photo these days anyway. This needs to be upped. How do we get that to happen?

I'm here to take care of these questions for you about receipt capture in QuickBooks Online (QBO), @Domalos.

 

1a. I suggest you manually create an expense transaction instead. This way, you can itemise the VAT amounts correctly.

 

1b. The transaction the system automatically creates when you capture receipts are found in the Receipts, under the Transactions tab.

 

 

1c. Uploaded receipts do act like downloaded online bank transactions. They'll stay in the Receipts tab for you to categorise, review, or match. I suggest you open this article for additional details: Capture and categorise expense receipts and bills in QuickBooks Online

 

1d. Same as your downloaded online bank transactions, these uploaded receipts can match a transaction already entered in your QBO company. With that said, you can choose either of these two options to avoid duplicates. 

 

2. You have a different option to upload these receipts to your QBO company, which is to send them through email. The maximum filesize for the attachments on the email is 20 MB. See this article for more information about the process: Email receipts and bills to QuickBooks Online
