The loss of tags is particularly unhelpful for UK charities

I'm interested in whether other UK charities are going to have the same issues that I have already come across with the removal of "tags" as they are replaced with "custom fields", and have some questions for Intuit below.

 

The first issue (and a legally significant one) is that existing tag data will be removed from May 2028, three years from now. As Intuit should know, it is a legal requirement in the UK that all financial information is retained for seven full financial years after the year in which the transaction happened (for regulatory oversight). Deleting the information that has been stored in tags until now will cause all UK organisations to lose data that they are legally required to keep, unless they manually copy all the existing tag data to their new custom field(s) - at a massive administrative cost. Why is it not possible to have an automated process that can perform this transfer for historic transactions if you insist on deleting the old tag data so quickly?

 

The second issue is that (at least on QBO Plus), the limit for tags is 300, while the new limit is 100 per custom field. Are organisations with more than 100 tags expected to use two or three of the four custom fields to replace this - which also seems messy (how can you remember which custom field has each 100 of the tags)? I also see no obvious method to replicate tag groups except by splitting tags across the custom fields (giving a maximum of only four groups, not the 40 we can currently have).

 

A third issue is with Gift Aid. With tags, it has been possible to add both a tag for a specific campaign/purpose and a tag for Gift Aid, to the same transaction, using just the tag field. The simple solution to this is to use one custom field just for Gift Aid, with another for the campaign/purpose tags (but this uses two of the four custom fields available for Plus users). Please note that in my case I am already using "Location" to differentiate between different fund types (Restricted, Unrestricted, etc.) and "Class" for project departments so these are not available - I then use(d) tags more for specific fundraising campaigns.

 

Finally, also on Gift Aid, I use bank rules to automatically record regular donations from individuals (we have hundreds of rules for these). Until now, I have been able to add the "Gift Aid" tag to transactions from donors who have a declaration in place as part of the rule, meaning these were automatically tagged as they were processed from the bank feed. For some reason, Intuit have decided not to allow custom fields to be allocated to these rules, so it is no longer possible to automatically tag transactions from donors with Gift Aid declarations. This is going to require yet more administrative expense to add manually after the event, and is likely to lead to more errors (missed transactions, costing charities more money through missed claims). Why is it not possible to add custom fields to bank rules?

 

It looks to me as if someone at Intuit had the idea of removing the tags functionality but didn't bother to talk to users to find out how this would affect the work they are doing and the way QBO works for them. When we moved to QBO, we were told in pre-sales that QBO supported UK charities really well, but my experience has been that I've had to use lots of workarounds that we didn't need to use in Sage 50, and a lot more external spreadsheets to do what Sage did internally. Now Intuit is making some of those workarounds unavailable, making it even harder to run a charity using QBO. Intuit - please make the necessary changes urgently so the above issues do not affect charities like ours!

Great news - Intuit are not removing tags after all!

 

I received an email this morning letting me know that my feedback (and I'm sure that of others) has guided them to reverse this decision. So for all of us who are currently using tags, we'll be able to continue using them.

 

However, they will not be available for future new users or those who don't currently use them. They will also continue to evaluate the use of tags in relation to future features and will let us know of any future updates that may impact the use of tags.

 

Intuit - many thanks for responding to this and changing the plan.

Great news - Intuit are not removing tags after all!

 

I received an email this morning letting me know that my feedback (and I'm sure that of others) has guided them to reverse this decision. So for all of us who are currently using tags, we'll be able to continue using them.

 

However, they will not be available for future new users or those who don't currently use them. They will also continue to evaluate the use of tags in relation to future features and will let us know of any future updates that may impact the use of tags.

This is the first I've heard of Tags staying.  I was on the phone with a rep today and they said that Tags have been removed.  I can still see how to tag things within individual transactions, but there is no tag page under the gear icon, and no way create reports from tags.  I'm using Quickbooks online in the US.

I've got the updates you need about the tags feature in QuickBooks Online (QBO).


Please note that customers who have never used tags will no longer see the option to use this feature by May 19, 2025, while existing users who have used tags can continue utilizing them until May 19, 2028.


By May 16, 2025, tags will become read-only. Therefore, you will be unable to create new tags and will no longer be able to create tags for reporting. Instead, you'll need to migrate tags to custom fields for tracking and reporting purposes across all QuickBooks Online (QBO) plans.


Here's how you can migrate tags to custom fields:

 

  1. Go to Settings and select tags.
  2. From the tags page, select Migrate tags to custom fields. Up to 100 tags will auto-imported and all transaction forms will be pre-selected. Review the selections and mane necessary changes.
  3. Click Save to successfully migrate to custom fields and will be visible on all transaction forms.

 

After May 15, 2028, the ability to view tags and generate reports will no longer be available. Tags will be removed from QBO, and they will disappear from historical transactions.

The information you've given here relates to the previous plan from Intuit. The email I received from Quickbooks states very clearly that Tags are staying for those of us who were using them prior to 19th May 2025.

 

However, it occurs to me that this may only be applicable to UK users, as the response came from the UK QuickBooks Team. If this was the case, that would explain why TroopTreasurer cannot use them as a US-based user.

 

Please could you investigate whether this is only applicable to UK users or whether all users who were using Tags previously can still use them?

Looks like I got my answer (above).  I can use my tags, and I know how to access the tags page through a separate URL.  I'll be good for 3 years, and then we'll see what happens.  Thanks all.

Changes to the Tags feature affect customers from all other regions, Phil_UK.

 

This feature is a global change to QuickBooks Online users, and existing company owners who have utilized Tags can continue using them until May 19th of 2028. With that, the information shared by my colleague above is the recent updates and policies to this feature.

 

Additionally, you can refer to the detailed steps mentioned above to assist you in migrating tags to custom fields for accurate tracking and reporting of your overall finances.

 

Once everything looks good, it’s best to regularly review and reconcile your accounts to ensure they always match your financial statements.

Thank you for your reply. You noted that your colleague's answer above was about the recent updates to this feature. However, one of the statements in Carneil_C's message was that "By May 16, 2025, tags will become read-only. Therefore, you will be unable to create new tags and will no longer be able to create tags for reporting." However, today is 9th June 2025, and it seems I can still create new tags.

 

I've attached the email that I was sent on 13th May (the subject was "We listened, Tags are staying"), which seems to contradict this and other information provided by your colleague. As you can see, whilst new users or those who were not using Tags before cannot start using them now, for those of us who were already using them, we can continue to use them just as before. There is no end date specified, and whilst they will be under review just like everything else within QuickBooks, there is no indication that Tags (and their data) will disappear in 2028.

 

Please can you check with senior managers in your organisation to work out why you are giving out contradictory information to the emails sent out by the QuickBooks Team?
