What happens if I delete a sent invoice?

Welcome to the Community, @carlaschocolatebouquets.

 

Let me give you some insights on what will happen to the deleted invoices in QuickBooks Online. 

 

When you delete transactions, you completely erase it from your books. You're unable to see those transactions anywhere on your reports or in your accounts. However, you can access the Audit Log feature to recover some details that it might need in the future, but you're unable to revive those transactions. 

 

If you're still don't know what to do in your invoices, I suggest reaching out to your accountant to ask, which is the best way to manage the transaction and for accounting advice also. 

 

Though, you also have an option to void the invoices. In this way, you're just zeroing out the associated payments, and it won't impact your reports or account balances. Also, the transactions will stay in your account.

What happens if I delete a sent invoice?

HI , I have a quick question,

 

If I emailed an invoice in error, then deleted the invoice, will the sent email be deleted as well?

 

I sent an invoice with incorrect info to the incorrect customer. Then I deleted it, but want to make sure they will not receive that email.

Let me share how sending invoices work, shiningstarcleanllc.

 

Once an invoice is sent to a customer, you're unable to delete the invoice from their email. You can inform your customer about the error instead.

 

Make sure to delete the incorrect invoice in QuickBooks and create the correct one.

 

Furthermore, you can actually check the status of the invoice in your account. On the Invoice page, click the Status under a specific invoice. You'll see these below:

  • Sent: You emailed the invoice to your customer
  • Viewed: Your customer viewed the invoice. This includes any CC and BCC recipients of the email.
  • Paid: Your customer paid the invoice in full (expect 2-3 days for this to deposit in your bank account).
  • Deposited: Your deposit should land in your bank a few business days after you were paid.
