I'm here to help ensure you're able to link HMRC with QuickBooks Online, Jo_S.

You need to set up your Agent Services Account (ASA) with HMRC after setting up the VAT number. This account is needed to access new HMRC online services, including Making Tax Digital (MTD).

It doesn’t replace your existing Government Gateway logins, which you will continue to use for existing services that are not under MTD or for clients that are not impacted by MTD.

To create an agent services account and link your existing clients you’ll need the following:

  • Your agent firm’s Self-Assessment, Partnership or Corporation Tax Unique Taxpayer Reference (UTR)
  • The postcode associated with that UTR.
  • The Government Gateway IDs you currently use to submit VAT on behalf of your clients.

To create a new Government Gateway ID, follow the steps below:

  1. Visit the Government Gateway registration web page.
  2. On the webpage, select Agent, then Continue.
  3. Follow the on-screen prompts and ensure you make a note of your User ID, password and Gateway Agent ID, and keep them secure.

Now that you have created your new ID, you can set up your (ASA) for MTD using the new credentials. Here's how:

  1. Visit the Get an HMRC agent service account web page.
  2. Enter your new Government Gateway User ID and password, then click Sign in.
  3. Follow the on-screen prompts and ensure you make a note of your Account Reference Number (ARN) and keep it secure.

Once this is done, you go continue setting up MTD and authorise QuickBooks to interact with HMRC. Then, you can start submitting VAT returns to HMRC.

If you need further assistance with the setup, feel free to contact our QuickBooks Online Support for UK. They have additional tools to pull up your account and walk you through the steps.

Stay in touch with me if you need anything else about linking HMRC. I'll be around to help you.

Thanks for your response, but I think that is for agents.  I am just a single small business so it makes no sense to have an agent account, also I didn't have one before.

I think the issue is that because I've already submitted VAT returns through Quickbooks, then had a gap while we were not registered for VAT and now trying to start it up again with a new VAT number, Quick books doesn't like a) the gap (it keeps trying to generate a return for when we were not registered) and b) the new number ( it has a problem connecting to the new government gateway account).

Hello @Jo_S,

Since you're still unable to connect with the HMRC in QuickBooks, I'd recommend contacting our Customer Care Support. From there, a specialist can pull up your account, securely, and further investigate the root cause of this unexpected behavior with their tools.

To do so, you can follow the steps below to reach out to our dedicated support:

  1. Go to Help.
  2. Select Contact Us.
  3. Enter Unable to connect with HMRC after updating it with the numbers in the What can we help you with? field.
  4. Click Let's talk.
  5. Choose a channel where you wish to connect with our team.

Additionally, you can also browse for the content of this helpful article to get a better view of how you can prepare your return in the future: VAT Exceptions and Reports.

If you have any other questions, please let me know in the comments below. Stay safe!

Hello Paul3838, thanks for posting on this thread, so all you need to do is go to the taxes section>edit vat >edit settings and change the  vat registration number there and turn mtd on in that section. You will probably have a vat return that will need to be marked as filed and it should be an empty or zero return, you will need to make sure mtd is turned off to do this and then turn mtd on again once filed.

If you still have issues with it once trying that, then i suggest you ring the helpline on 0808 234 5337 and the agent will be able to set up a screenshare with you and see what is going on and advise you want else to do.
