Advance Quickbooks Online User Access

I have Advance QB Online with up to 25 users. I can give people "access" to sales, transactions, etc. When QB says I am granting "access," does that mean the user can change information such as individual transactions? My intent is to grant viewing rights to all the data, but not allow anyone to change things. I especially want my viewers to be able to view uploaded receipts for individual transactions. Thx.

Advance Quickbooks Online User Access

Hello there, TstAcct33,

Once you grant a user to access your QuickBooks Online account, they'll be able to make some changes to your transactions.

To monitor their activities, you can use the Audit log feature. It tracks sign-ins and changes to settings as well as edits to customers and vendors and employees. QuickBooks records the following in the audit log:

  • The date of any change to your books
  • The name of the user who made the change
  • The type of change or event
  • The name of any customer or vendor related to the change
  • Any original transaction date and amount.

Check out the Use the audit log in QuickBooks Online to learn more on how to track activities perform by any user.

You can also refer to this link: Add and manage custom roles in QuickBooks Online Advanced to help you customize the access of a user.
