AMEX syncing issue:

My company has an AMEX business Platinum card: I am the main card-holder and have 5 additional employee cards for each staff member. I need for each employee's card to sync to a different chart of accounts. Currently all AMEX expenses from all 6 cards sync into only one chart of accounts. I synced the main card with my chart of accounts but get all info from all 6 cards. I would  to sync only my expenses pertaining to my chart of accounts.  I each employees AMEX charges to sync to  each separate charts of accounts. I need them to code their own expenses for their chart of accounts. Is this possible in QuickBooks with AMEX?

AMEX syncing issue:

You got me here to help you sort this out, john58bkk.

With your AMEX Business Platinum card, you'll have to set up one account as the parent account. Any other accounts associated with that line of credit should be sub-accounts. Only the sub-accounts should be connected via bank feeds. This action will allow the charges on the individual cards to move to the parent account.

To create a sub-account:

  1. Go to the Settings icon and select Chart of Accounts.
  2. Choose New at the top.
  3. In the Account Type drop-down, select the account type (Credit Card).
  4. In the Detail Type drop-down, choose the type of account you want to create (Credit Card).
  5. Enter a name for the account In the Name field.
  6. Check the box for Is sub-account, and chose the parent account.
  7. Click Save and Close.

Now you have set up a sub-account.

AMEX syncing issue:

Thank you. How do I make QB separate, with American Express CC statement,  sub-account (other employee card holders) from the parent account. Now it only syncs with the parent account and I do not see how we can separate each employee card data as a separate account.

AMEX syncing issue:

Thanks for getting back to us, @john58bkk.

Once you set up a parent and sub-accounts for your credit card, you'll have two ways to connect your account to online banking.

  • Connect the parent account if you'll track your transactions as one
  • Connect the sub-accounts if you'll want to download your transactions in every account

Since you've added the parent and sub-accounts, your transactions are downloaded only to the parent account. In this case, we can record a transfer to move the transactions to the sub-account. Here's how:

  1. Go to the Banking menu.
  2. Ensure that you've selected the parent account to transfer from.
  3. Find and click the transaction.
  4. Select the Record as transfer radio button and then choose the sub-account from the Transfer account drop-down list.
  5. Click Record transfer.

Also, matching and categorizing your bank transactions in QuickBooks Online is a great help to keep your books accurate once you reconcile them.

AMEX syncing issue:

we have approximately 2000 transactions. does each one have to be transferred individually? we have 5 sub-accounts for our AMEX credit card. We need to automate this? Can you help?

AMEX syncing issue:

Thanks for getting back to us, @john58bkk.

In QuickBooks Online (QBO), the ability to automatically transfer transactions from one account to another in the Banking page is currently unavailable. You'll need to do it manually. You can follow the steps shared by my colleague above for further guidance.

I can see how having this option would be helpful for you and your business. Rest assured that I'll pass along your suggestion to our Product Developers. They're always looking for ideas from users on how to improve QBO.

In the meantime, I recommend visiting our Blog site. This is where we share recent happenings and future developments, such as updates to newly added features.
