Can't log in - 2nd user -

We have a 2 user license of QB Pro 2014.  The data is hosted on my secretary's drive and we are in a peer to peer network.  If she is logged in (in multiuser mode) I cannot get in.  The message states that we have a 2 user license and the host is set up to share but the company I am opening is unable to access it.  If I get her to log out and I log in first, then go into multi user mode, then she has no problem logging in.

Let's get this working for you, gwynette.dixon.

There's a possibility that you’re QuickBooks (first computer) and the other workstation’s QuickBooks are not working on the same company file.

To check the file location:

  1. Press F2 on your keyboard while in your QuickBooks desktop to determine the company file information.
  2. You can then match it with the file location that the other computer is in.

You can refer to the screenshot below.

If they have the same location, you can refer to this link to re-fresh your multi-user set up:

https://community.intuit.com/replies/2771048

Let me know how it goes, or if you need anything else. Thanks a lot.

I have called in three times and asked for help setting up 4 users to access the company file simultaneously. I am the admin and have set up the users three times with the rep telling me how to do it the same way each time. I currently see them in my user list after the third call but no one else can access the file. The file does not show up in their pick list. I have multi user access enabled. The file they need to access was saved and downloaded from our Online account to the desktop. We have had nothing but problems with this conversion and every time I call in there is someone with such a thick accent talking to me that it takes almost an hour each time to communicate and get help. Each time the rep has been reading the directions instead of knowing right away what I need. I have no confidence in your representatives. The last time I spoke to someone on chat, I was told to call yet another number because they could not help me.

This isn't the service we want you to experience, @sherrayinc.

I understand how you feel when something isn't working the way you need it to. This time, I'm here to help you set up the multi-user access to your company file.

To start with, there are three main conditions that you'll have to accomplish so that your other user's can access your company file. These conditions are:

  • Windows File permissions
  • Database Server Manager
  • QuickBooks User Login Credentials

To add, I've included this article you can read to learn more about these conditions: Host your Company Data file in Multi-User Mode.

Thus, let's configure the folder's permission to share your company file. You can consider this as one of the reasons why your other users cannot access your company file. To do so:

  1. Find and open the folder where you saved your company file.
  2. Right click to open the other options of your folder.
  3. Choose Properties.
  4. Under Security, select Advanced.
  5. Select QBDataServiceUserXX.
  6. Click Edit.
  7. Click Allowed.

In addition, here's an article you can read to learn more about how you can configure your company file's folder permission: Set Up Folder and Windows Access Permissions.

However, if your other users are still unable to access your files, you can follow the other steps outlined in this article: Set Up and Install a Multi-User Network for QuickBooks Desktop.

From there, you'll be guided through the steps that'll help you set up you company file so that youe other users can access it successfully.

Lastly, I've also added this helpful articles in case you'll bump into error when hosting your company file for multi-user access: How to Fx Error H202 and H505?

If there's anything else that I can help you with, please let me know in the comment section down below. I'll be always around ready to help.

How On earth can you hit F2 on 2nd user if the 2nd user can't even log in?

I've read the thread and it seems that your second QuickBooks user is unable to log in to the company file, too, ianpo.

Before we do any troubleshooting steps, I'd recommend updating the QuickBooks release version. This'll keep your QuickBooks and system components compatible with one another.

There are different reasons why the second QuickBooks user is unable to access your company file. It's possible that:

  • there is an issue with the multi-user setup.
  • the folder locations are different from one user to the other.
  • the user profile is damaged.
  • the company file is damaged.
  • QuickBooks itself is damaged.

First, we can follow the recommended steps so the user can access the company file. Here's an article is composed of multiple troubleshooting steps: What to do if you can't open your company file in QuickBooks Desktop.

Second, we can delete and recreate the user profile. This is to refresh his access to the company file.

Third, we can do the Verify and Rebuild Data to ensure we don't have a data integrity issue.

If the same thing happens, we can Repair QuickBooks to ensure the program components are in good condition.

We'll provide additional troubleshooting steps based on the results.

I'm here to help you get past this error, durst.

Are you getting the error "The file exists" when trying to log into your QuickBooks Desktop? If so, this error is usually caused by a file being read incorrectly.

We have several troubleshooting steps to resolve this error, please try the steps below to complete the process:

  1. Make sure your QuickBooks is on the latest update.
  2. Close QuickBooks and restart your computer.
  3. Right-click QuickBooks icon, then select Run as the Administrator.

If the problem persists, you can follow the next troubleshooting steps in this article (proceed to Solution 2): How to fix payroll errors: “The file you specified cannot be opened” and “The file exists”.

Also, you might find the following resources interesting. These write-ups contains troubleshooting steps for QuickBooks and payroll update issues:

Please get back to me if you continue to get the same results so I can look further into this. Keep safe!
