Error message when trying to delete billable expenses

When I try to hide billable expenses by going to the sales page, clicking on the unbilled activity tab, entering manage billable expense in browser,  I am getting this error message on any date I try to enter.  All my unbilled activity happened in March.  All dates I enter get this message:

Somethings not quite right

The account you are trying to use has been deleted
 
Is there a way to fix this?  The two customers who have billable expenses are both active and invoices were sent and all activity associated with the two customers was done when I used the desktop version.  I used desktop prior to online and all this was imported to the online version I use now.

The error message you're getting means that your account has been marked as inactive. This can be resolved by reactivating the account from the Chart of Accounts.

 

Here's how to make an inactive account active again:

 

  1. On the left panel, click Transactions.
  2. Select Chart of Accounts.
  3. Above the Action column, click the Settings option.
  4. Put a check mark in the Include inactive box.
  5. Look for the inactive account, and click Make active.

There you have it. I have attached screenshots for your references.

Hi greenmilieu01, 

 

I'd like to verify if you got the same error after verifying if the account used, and the customer/s are active? If not, we can perform a few browser troubleshooting steps to fix this. Stored data in your browser's cache might be the cause of this error.

 

Here's how:

  1. Log in and delete the billable expenses using a private browser. 
  2. If this worked using a private window, we can clear your main browser's cache to remove piled-up cache files. 
  3. You can also use other browsers like Google Chrome, Internet Explorer and Mozilla Firefox. 

In addition, if you have a lot of unbilled expenses, and you want to remove them, just go to your Dashboard.  On the top of your screen where the URL is, remove "homepage", and put this in your URL after "/app/"  managebillableexpense. So your URL will say: c__.qbo.intuit.com/app/managebillableexpense.

I followed your instructions by replacing homepage with manageunbilledexpenses which took me to the Hide bill expenses page. I then entered the date of 10/1/2019.  Unfortunately it did not close out the  unbilled expenses. Any idea why?

Allow me to step in and help you further with closing out your unbilled expenses via QuickBooks Online.

 

Closing the unbilled expenses is quick and easy. You'll need to enter the specific date to close the transaction. Let me show you how:

 

  1. Log in to your QuickBooks Online account.
  2. Go to https://qbo.intuit.com/app/managebillableexpense.
  3. In the Date field, enter the specific date. QuickBooks will hide any unbilled expenses created before that date and will mark them as Closed.z.PNG

 

If you're still unable to close the unbilled expenses, I'd suggest to close them manually.

I did just what you suggested but nothing changed after I entered the date and saved.  When I try to remove them manually, which will take some time, as I have several years worth.  I get an error message saying the following.

 

"You can't create or modify a transaction with a date that comes before you started tracking quantity on hand for the following: "item name in this spot"

Hi, @NLG.

 

Allow me to chime in and help provide some additional information about the error you're getting when closing out the unbilled expenses. 

 

The reason why you're getting this error is once the expense billable transaction is created earlier than the starting date of the product and service.

 

What you need to do is open the product and service item on the billable expense transaction you've used, then adjust the starting value. 

 

Here's how:

  1. Click the Gear Icon.
  2. Select Products and Services.
  3. Look for the product and service, and click the Edit drop-down menu.
  4. Click Adjust starting value.
  5. Change the As of Date info, and make sure that it's older than the transaction date. 
  6. Click Save and Close to apply the changes.

Once done, you can now continue manually closing the unbilled expenses.  

 

If you need further assistance with the steps, I recommend contacting our QuickBooks Online Support Team. They have additional tools to pull up your account and do a remote session. 

 

Here's how:

  1. Sign in to your QuickBooks Online company.
  2. Select Help (?) at the top right.
  3. Select Contact Us to connect with a live support agent.

I followed steps 1-4 and then I get the following message. 

 

You can't adjust the item's starting value because it doesn't have a staring value transaction associated with it.

Since you're unable to adjust the item starting value, we can perform some steps to see if this a browser issue.

 

To start with, let's log in to your QuickBooks Online account using an incognito window. You may use these keyboard shortcuts in opening a private/incognito window:

 

  • Google Chrome: Ctrl + Shift + N
  • Internet Explorer: Ctrl + Shift + P
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

 

If it worked, this means a browser issue. Go back to the main browser, you’ll need to clear your browser’s cache to help you offload some data from your browser.

cleared browsers cache.  still does not allow me to change the as of date.... which i need to do in order to delete a unbilled expense that carried over when I converted to qb online

They have all the tools needed in checking your account in a safe and secure environment and isolate what causes this billable expense not to be deleted.

 

You can reach them by arranging a callback. Here's how:

 

  1. First, go to the Help icon from your homepage to connect to a live support agent. 
  2. Click on Contact Us button to provide some details about this concern.
  3. After adding some insight, tick on the Let's talk button. 
  4. Lastly, select the Get a callback button to arrange a call from them.
