Have tried repeatedly to change a user from Standard to Admin. I select Save and it wants to verify my identity. I follow the steps and I have to change pw - again! Help!

I done this process 5 times - changing my pw each time. The user is still not changed! What am I missing here? Of course, have also gone in circles trying to get a response from QBOL.

Changing a user from Standard to Admin only requires a few steps, genie4.

Verifying your identity helps you protect your data and your Intuit account. This is to make sure that you, and only you, can access your account. However, if you wish to remember the system your user ID and password without verifying the account using a code, you can put a check-mark in the Remember my user ID.

Moreover, you can follow the steps below on how to manage roles or permissions. Here's how

  1. Sign in to QuickBooks with a user profile that has permission to manage users.
  2. Click the Gear icon.
  3. Select Manage users.
  4. Find the user you want to edit. Then select Edit in the Action column.
  5. In the User type drop-down ▼ menu, select the new user type.
  6. Select the user settings, if applicable.
  7. Select Save.
  8. Ask the user to sign out and back into QuickBooks Online to see the updates.

Certain users don't count towards your user limit, like the Reports only or Time tracker roles. You can't edit these user permissions. If you need to edit that user, simply delete them. Then add them again with the correct role.

Thank you for your reply. Those are the exact steps that I have tried repeatedly. The only thing I did not do is to have the user (I was updating) login and out to see if the changes had been made. I don't understand why it says to have the user sign out - are they supposedly to be signed in simultaneously when I, as Master Admin, am making their changes? I'm puzzled by this step.

Also, I understand the need for verification, but each time I receive the code and enter it, QB asks me to once again change my password. I am also puzzled by this repeated step.

I'm open to any suggestions as to what step I am missing to accomplish the update of one of the users. It's getting very frustrating to say the least. Thank you!

I know that this hasn't been easy for you, egenie4.

I'll make sure that you can change the user type this time.

Please note that updating a user in QuickBooks Online isn't retroactive. If the user you're updating is currently logged on, have them sign out then sign in again so that the changes will take effect.

Additionally, QuickBooks Online won't normally prompt you to change your password after entering the code. To isolate the issue, we can perform some basic troubleshooting steps. At times, the accumulated cache and cookies in the browser become corrupted causing strange behaviors in the program.

You can start by opening your QuickBooks account in a private or incognito window. This process will help you determine it's a browser-related issue since this mode doesn't save site data and web searches. Feel free to use these shortcut keys:

  • Ctrl + Shift + N for Google Chrome
  • Command + Shift + N for Safari
  • Ctrl + Shift + P for Mozilla Firefox and Microsoft Edge

Once you're in, then to update their user type again. If it's now working well, you'll need to go back to your regular browser and then clear the cache to improve the system performance. Alternatively, you can switch to other supported browsers.

I also recommend reading this article to learn more about the levels of access and the number of users you can add to your QuickBooks Online plan.

Feel welcome to reach out to me with any questions you may have and I would be more than happy to help.
