Is it possible to transfer a data file for a client from one accountant's QBOA system to another accountant's QBOA account that is taking over that client?

If it is possible, what are the steps?

Hi kfcoronacpa.

 

Good news! It's possible to transfer a client's data file from one accountant's QuickBooks Online Accountant to another. 

 

To start off, the current accountant will need to remove the client from their Wholesale Billing subscription. 

 

Here's how:

  1. Go to Settings ⚙️ and under Your Company, select Your Account.
  2. Select the clients you want to remove. If any say Inactive, you need to make them active before you move on.
  3. From the Batch Actions drop-down ▼ menu, select Transfer billing to client.
  4. Select Remove.

They will see a screen that advises if all clients were correctly migrated and a list of clients whose migration failed. Once that’s done, the new accountant would add that client as an existing user. 

 

Here’s how:

 

  1. Accept the invitation to join their account.
  2. Go to Settings ⚙️and then Your Account
  3. Under Your subscriptions, select Add existing clients.
  4. Look under Client eligible to add for the clients you can move to your subscription.
  5. Select the client you want to add, then select Add clients. If this option is grayed out, you need to enter their billing information first. 
  6. Select Continue when you see a confirmation. 

As long as these steps are done within 30 days of each other the Wholesale Billing discount will move over to the new accountant.

I have this same question - my firm has multiple locations and has accumulated multiple QBOA accounts. We are trying to consolidate, but without costing our clients their discounts. If we move the client via the process you suggest, will they retain their 50% discount? When I look at adding, QuickBooks shows up as costing $0/mo as both "Current Client Price" and "Your Subscription Price", payroll shows up at the correct discounted rate per month for "Your Subscription Price", and I am very confused as to what it's trying to tell me.

To answer your question, clients that are already on wholesale billing can't retain their discount with them when switching firms, but they can get yours. Once removed from the first firm, you have 30 days to add them.

 

Here's how:

 

  1. Have them invite you as their accountant and accept the invitation.
  2. Log into your QBOA account and go to the Gear icon at the upper right to get to Your Account418.PNG
  3. Click Add existing client in the Your subscriptions tab.
  4. Look under Client eligible to add section and select the clients you can move, then Add clients.
  5. Hit Continue to confirm.

Thank you for the explanation; I'm familiar with how to add clients to wholesale billing, but transferring them after November 1 is very anxiety-inducing.

So just to clarify completely - the process runs as follows:

We have a "old" QBOA and "new" QBOA. We are accountant users via both QBOAs (i.e., both accountant slots are used by us).

1) Client is a wholesale billing client in "old" QBOA and currently receives our 50% discount there

2) We must then "Transfer billing to client" in the "old" QBOA

3) In the "new" QBOA, we would "Add existing clients to your subscription"

4) As long as steps 2 and 3 occur within 30 days, the client would receive the same 50% discount in "new" QBOA (which shares the same discount rate as "old" QBOA).

OR

*can* it just be steps 1, 3, and 4 as it appeared to be in the response we were replying to? And if so, does the client receive an email (i.e., do we have to tell them in advance we are doing this administrative change? Nothing would change from their perspective as we would still show the QBO charge on our firm invoices to them) as they do if we remove them as a client?

We can check your account to see if your client can still avail the discount once they'll be transferred to the new account. With this, I suggest contacting our Phone Support Team so further check.

 

Here's how:

  1. Click the Help ( ? ) icon and click the Contact us button.
  2. Enter a description of your concern about wholesale billing account. 
  3. Click Let's talk
  4. Choose to either to Chat or Call us

With regards to the changes made within QuickBooks, only the Master Admin can receive a notification.
