How can I create a report that analyzes average time spent on certain services and filters out canceled projects?

Let's see what report we can pull up to get the data you need, FinanceDog.

Currently, we have three specific project reports that we can easily pull up and customize:

  • Project Profitability
  • Time cost by employee or vendor
  • Unbilled time and expenses

We don't have a direct way of getting the average time spent for services. However, we can customize the Time cost by employee or vendor report and export it to Excel:

  1. Select Projects on the left menu and click on the project you want to get the data from
  2. Go to the Project Reports section and select Time cost by employee or vendor.
  3. Sort the transactions by Product/Service.
  4. Click the Customize button and go to the Rows/Columns section.
  5. Add the Start Time and End Time columns if necessary.
  6. Click Run report.
  7. Click the Export option (paper icon) and select Export to Excel.
  8. Calculate the average time spent from there.

Meanwhile, we can also filter the Projects list by status. This way, we can see what projects are in progress, completed, or canceled.

  1. Select Projects on the left menu.
  2. Change All statuses to Canceled.
  3. Click on the cancelled project and review the details.

Thank you for your response.  Unfortunately, my query should have been more specific.  I want a report that analyzes average time across all non-canceled projects.  I'm assuming I can only get the average by exporting a report to Excel.

That leaves how to filter for non-canceled projects.  I used the Time Activities by Customer Detail report but do not see how to filter out canceled projects.  Any way to do that?

Also, is there a way to have that same report show only the total for each project without having to collapse them manually?  This would make it easier to run a quick average in Excel.

Thank you for your time.

Hi there, FinanceDog.

Thank you for coming back here to QuickBooks Community to

As mentioned above, running a report that analyzes average time across all non-canceled projects is currently unavailable. And, the workaround is exporting the report in Excel and manually calculate the average time spent from there.

On the other hand, filtering or customizing the Time Activities by Customer Detail report to show non-canceled projects. or canceled projects is unavailable. With this, all the Time Activities you entered in the system associated with ongoing or canceled projects will still show on the said report. Please make sure that you choose the correct customer/employee.

Also, there's no way to have the same report that shows only the total for each project. You can only visit the Project page and manually see the total for each project.
