We're unable to manage the client's billing and subscription if they're using QuickBooks Desktop and you're using QuickBooks Online for Accountants. You'll want to advise them to switch to QuickBooks Online first.

Thank you for your response.  However, it doesn't answer the question.  Here are more details.  I don't use Online and I am not moving them to Online.  They were imported into my Premier Accountant 2022 desktop edition.  Their payroll subscription has expired and I am trying to switch their payroll subscription in their desktop file to my payroll subscription.  How do I do this?

Thank you for your response.  However, this doesn't answer my question.  Let me provide more details.  I do not use QB Online and I am not moving the client to QB Online.  I imported the client to my QB Premier Accountant 2022 desktop software.  Recently, their payroll subscription has expired.  I am trying to switch their payroll subscription to my subscription within my QB Accountant 2022 desktop software.

I can share additional information on how you can add your clients under your payroll subscription in QuickBooks Desktop.

 

Here are the possible requirements and limitations if you need  to add a company file that has an existing service key:

 

  • You must have the latest supported version of QuickBooks desktop.
  • You must use the same registered copy of QuickBooks Desktop, on the same machine, to process payroll for all companies on a single payroll subscription.
  • QuickBooks Desktop Payroll can only support one company data file per EIN. Attempts to use multiple company files under the same EIN and payroll subscription may cause errors.

 

Your client's need to activate their payroll subscription and make sure their billing information is current and they have a supported version of QuickBooks Desktop.

 

One way to turn your payroll service back on is directly in your QuickBooks Desktop company file.

  1. In your QuickBooks Desktop company file, go to Employees and select My Payroll Service.
  2. Select Account/Billing Info.
  3. Sign in using your Intuit Account login. Your QuickBooks Account page will open.
  4. Under Status, choose Resubscribe.
  5. Follow the on-screen steps to reactivate your payroll service.

The situation could only be handled by calling QuickBooks support.  It cannot be handled manually.  Thanks for your help though.
