Only the primary admin can track mileage in QuickBooks Online, Kim.
To keep your records accurate and organized, you don’t need to create a new company. Just invite your two employees and assign the Standard limited access to customers and vendors' roles to allow them to enter receipts.
Here's how:
- Click the Gear icon.
- Under YOUR COMPANY, select Manage Users.
- Tap Add user.
- Enter the user's information.
- Choose the role" Standard limited customers and vendors"
- View all permissions to review what users can access in your account.
- Once done, hit Send invite.

Take Note: Users added to this can access Customers and Sales, as well as Vendors and Purchases.
If you're using QBO Advance, you can create custom roles to give users access only to what they need for their work.
In the meantime, you can ask your employee to send you the mileage details so that you can enter the trips into QBO.
