To set up managers to receive payroll approval notifications in QuickBooks Online (QBO) and QuickBooks Time, you'll need to make sure user permissions and notification settings are properly configured. Below, I’ll outline the steps for you:
In QBO, you can designate a Payroll Contact, whose role is to receive emails and reminders related to payroll.
Here's how:
- Click the Gear icon in the upper-right corner, then select Payroll settings.
- Locate the Contact Information section and click the Pencil icon.

- Update the payroll contact information as needed.
- Select Save, then Done.
In QuickBooks Time, ensure the manager is set up with the correct permissions to approve timesheets. Please follow these steps:
- Log in to your QuickBooks Time web dashboard.
- Navigate to the My Team menu.
- Select the employee you want to designate as a manager.
- Go to the Permissions tab.
- Make sure they have permission to approve timesheets for all team members.
Once the appropriate permissions are assigned, configure the manager’s notification settings.
Here's how:
- Return to the My Team menu.
- Select the manager's name, and then click the Notifications tab.
- Adjust their notification preferences to specify which alerts they receive, such as notifications when team members submit their timesheets for approval.

- Once done, press Save.
