I added our bank using my personal log in instead of the business log in, how do I update (Checking and CC) without impacting any transactions already in QB?

The personal log in did give me our business checking transactions but not all of our CC transactions. I would like to remove both accounts and add them again using the business log in credentials but want to understand the impact of the possibility of duplicate transactions.

Thanks for posting to the Community, @GinaH1.

You can edit the sign-in information when you choose business login to connect your financial institution. This won't affect the transactions since QuickBooks Online (QBO) relies on the sign-in credentials set from each bank. You can also contact your bank to know how transactions are downloaded from a personal and business account.

Here's how to edit the sign-in info:

  1. In the left menu, click Banking
  2. Go to the Banking tab.
  3. Locate the Credit Card/Checking account.
  4. Click the Edit ✎ icon.
  5. Select Edit sign-in info.
  6. Enter the new credentials, then click Save and connect.

This article offers additional details: Connecting bank and credit card accounts to QuickBooks Online.

In case there are duplicate transactions downloaded to your bank, you can exclude them so they won't flow in the bank register.

Let me know if you have additional questions with QBO banking. I'm ready to help anytime. Stay safe!

Hi thank you for your response when I click the pencil in the corner it does not give me an option to edit the log in info. I tried to do this from the Dashboard with the pencil under the banking accounts and also in the Transaction Banking menu and neither option under the pencil was I able to edit my log on credentials. I need to switch to the business log on so that I can see all of the transactions from all of the cards associated with the accounts. Right now it is only importing the ones associated with my cards since I used my personal log in information, if that makes sense.

Thanks for the quick response and following the steps presented above, @GinaH1.

I'm here to help you change your banking credentials in QuickBooks Online (QBO). This way, you can see and categorize all the transactions associated with that bank as soon as possible.

To start, I'd suggest updating your login information first to your bank's website. After that, go back to QBO to update it too. You can follow the steps provided above to accomplish this.

If you're still unable to see the Edit sign-in info in the Banking window, I'd recommend signing in and out to your QBO account.

If the issue keeps going, I'd advise you to do some fundamental troubleshooting steps to get rid of the problem. Full of stored cache files on your browser can sometimes cause a problem like being unable to connect an account.

We can begin by accessing your account in incognito. These browsers won't save any browsing histories.

Feel free to use these shortcut keys:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P

Once logged in, repeat the process to verify it's already performing adequately. If you're able to do so, we'll have to go back to your normal browser and clear the cache to drop the junk files. Using other supported browsers is a good option also.

Once everything is set, please click the Update button in the Banking tab to refresh the connection. Then categorize and reconcile your account. This is to make sure that your books are accurate.

I've also added some pages about handling missing transactions, duplicates, and other related topics.

Please don't hesitate to leave a message below if you have additional questions. I'm always here, ready to help.

I added our bank using my personal log in instead of the business log in, how do I update (Checking and CC) without impacting any transactions already in QB?

I know my log in information from my bank and do not need to update it on their end.

I need to change the profile QB is pulling the account information from. Currently it is pulling it from my personal log in information but I need to update it to pull from the business log in so that it can pull the transactions from the business profile and not my personal. I can only see 1/2 of the CC transactions as our business CC account has 2 cards attached and they both have separate card numbers so that we know who from the business purchased what and I can only see my transactions and not my husbands who is the owner of the other card tied to the CC. If QB had my business credential log in information I could see everything.

Making sure that your credit card transactions are accurate is my priority, @GinaH1.

That being said, let me share additional information to help you rectify this concern.

First, what is the name of the bank account and credit card account you're working with? This is for me to narrow down the investigation to determine the root cause as to why it is not updating.

Just a heads-up, the transactions downloaded into your credit card account depends on the data shared successfully by your financial institution. Also, you'd want to verify from your bank how they send their downloaded transactions. If the transactions download to one account, connect the parent account. If the transactions are downloaded to the individual accounts, you can connect the subaccounts and not the parent account.

On the other hand, you can try disconnecting the personal account then connect the business account. Here's how:

  1. Go to the Banking menu.
  2. Choose the Banking tab.
  3. Tap the tile for the bank account.
  4. Click on the pencil ✎ icon, then select Edit account info.
  5. Press the Disconnect this account on save checkbox.
    • If QuickBooks is downloading new transactions, you won't see this option. Wait a few minutes for the update to finish and try again.
  6. Hit Save and Close

Once done, you can now connect the business account. If its successfully connected but only shows the other half of your business credit card transactions, you'd want to reconnect the personal account.

Next, you can start merging the accounts. Follow the step by step procedure in this article. Proceed directly to the Merge duplicate accounts section: Merge duplicate accounts, customers, and vendors in QuickBooks Online.

Lastly, I'm adding these articles for additional resources. These guides outline the complete instructions on how to link an account to the bank feeds and steps to classify downloaded data.
