I need to create a transaction statement for donors ( as a church we need to provide giving info to each member) but can't get the report to generate.

I have edited our account details to reflect non-profit status and changed 'customers' to donors, but still cannot get a report.

Let's work together and get this resolved.

 

Transaction statements are useful because you can send activity reports to donors, but don't need an amount due. It shows all activity from state to end dates that you choose.

 

Here's how to create a transaction statement for a donor:

  1. Choose the Sales tab, then Donors in the left menu.
  2. Find the donor you want to create the statement for.
  3. In the Action column, go to the drop-down and select Create Statement.
  4. From the Statement Type drop-down, click on Transaction Statement.
  5. Set the start and end date, the Print and Preview to review your statement.
  6. Select Save and Send.

Also, if you're needing to create multiple transaction statements here's how:

  1. Click on the Create + icon, then select Statement.
  2. From the Statement Type drop-down, choose Transaction Statement.
  3. Set the Start and End date, then go to Apply.
  4. Select the Statements available tab.
  5. Uncheck any donors for whom you don't want a statement.
  6. Choose Save and Send.

Now following the steps above, you'll be able to create a single transaction statement or multiple ones.

I did all of these things- repeatedly- but it tells me that I don't have any transactions for any donors for the past year! We were set up last year using 'customers' instead of 'donors'. Now that I have changed the designation, does that mean it cannot see any of the prior transactions? It does recognize my list of 'customers' as 'donors' now.

I have tried this solution, thanks, but it does not give me any transactions for any donors for last year (or any time, actually). Would it not recognize the transactions of the donors that were made last year when they were labeled as customers? I just need a list of all the deposits from each contributor to send them for tax purposes! :-)

Yes, where it was set up last year under customers not donors at that time, it would pull as customers. You can run and print the Customer Transaction Statement report.

 

To run a transactions statement, follow the steps below:

 

  1. Go to the Customers tab.
  2. Click on the name of the customer.
  3. Choose New transaction.
  4. Select Statement.
  5. Pick the drop-down under Statement Type, and push Transaction Statement.
  6. Locate the correct Start Date and End Date.
  7. Push Apply.

QuickBooks won't create proper donor statements with the required information on them.  Instead, use our BRC Donor Statements - Desktop  or BRC Donor Statements - QB Online  app to create the statements, depending on your QuickBooks version.

 

You can include custom text on your statements and a customizable table of details much like a QB statement, as well as many other options. 

 

The statements are designed to be compatible with windowed envelopes.  If you use that option, then there's no need to print mailing labels.  Just fold and stuff the envelopes...
