In linking QB to my one Chase Ink credit card account that has two user cards, TWO accounts were created in the COA. Has anyone solved this problem?

Reddit and other chats online show this to be common problem, causing very messy accounting and sorting, while the charges are paid only under the main card.  I tried to set up second card as subaccount but it was not allowed.

I'll provide information on how connecting a bank or credit card account works in QuickBooks Online. Let me also ensure you can manage them on the program smoothly to download your transactions efficiently.

Please know that before connecting to online banking, you need to know how your bank sends the downloaded transactions. If the entries download to one account, connect only the parent account. If the transactions are imported to the individual accounts, connect the subaccounts and not the parent account. Once you try to connect both, you’ll get a message that the account is already connected.

Based on the details you've mentioned, you've already connected the main or parent account in the program. That's why you're not allowed to set up a second card as a subaccount.

To resolve this issue, I recommend disconnecting the account you've linked first. You can then reconnect your account based on how your financial institution sends the downloaded transactions.

Here's how to disconnect:

  1. Go to the Banking menu and proceed to the Banking tab.
  2. Select the account that needs to be changed to a sub-account.
  3. Click the pencil ✎ icon, then select Edit account info.
  4. Select the Disconnect this account on save checkbox.
  5. Click Save and Close.

You can refer to this article for additional informaiton: About bank or credit card subaccount setup.

In case you need steps on how to review downloaded bank and credit card transactions by matching or adding them to avoid double data, you can refer to this artilcle: Categorize online bank transactions in QuickBooks Online.

Feel free to comment below if you have further questions about setting up your account in QBO. I'll be here to help you out, projectmusicheal. Keep safe!

Thank you for your response.

CHASE lists the one main card # at the top of our statements, and charges are listed chronologically, whether on the main or second card.

The link with QBO created two separate COA accounts.  The main card has a credit balance because it has paid the charges of the second card, which cancels out in the Balance Sheet but makes reconciling the accounts a mystery.

Since neither card seems to have been connected "first" but at the same time, I think what you are saying is that I need to disconnect BOTH accounts and then link only the main credit card?

Question is: what happens to the charges downloaded already?

Also: will QBO "find" the main card in COA by doing this re-link?

AND: what happens to the abandoned QBO account for the second credit card?

Thank you.

I'd be pleased to address your concerns regarding your credit card account, @projectmusicheal.

Before online banking, it's essential to determine how your bank sends downloaded transactions. You can connect only the parent account if they download to one account. On the other hand, if the downloads are made to individual accounts, you can link the sub-accounts but not the parent account. That said, if all your transactions flow through your main credit card, you can link it exclusively. For more guidance on connecting your bank or credit card accounts, visit this article: Connect bank and credit card accounts to QuickBooks Online.

Additionally, when you disconnect an account from online banking, your existing accounting data won't be affected. You can always reconnect the account to start downloading transactions again. However, it's important to note that QuickBooks (QB) will delete any transactions that need to be categorized in the "For Review" tab. If these transactions are older than 90 days, you won't be able to download them again in QB.

Moreover, for QuickBooks Online (QBO) to recognize your main credit card, it's important to set up the account accurately in the Chart of Accounts. For more information, you can visit this article: About bank or credit card subaccount setup.

In case you want to use bank rules to categorize your transactions from your bank automatically, you can check out this article to know how: Set up bank rules to categorize online banking transactions in QuickBooks Online.

Using sub-accounts is one of the supported functions when using online banking, anaicirtap.

However, I'd like to ask if you're getting any errors while trying to create the sub-accounts. This will allow us to ensure that we offer you the most accurate and relevant information to resolve your particular situation effectively.

While waiting for your response, I'd like to share some general troubleshooting steps that can resolve common browser and technical issues when setting up sub-accounts in QBO:

  1. Use a private/incognito browsing session or restart your browser.
  2. Clear your browser's cache.
  3. Add Intuit as a trusted site.

However, the system is unable to connect both a parent account and its subaccounts to online banking simultaneously. Otherwise, it will result in an error message indicating that the account is already connected.

During the reconciliation process, you only need to reconcile the parent account. This is because all transactions in the subaccounts will be included in the parent's reconciliation. Here's an article that provides all the details about how this feature works in QBO: About Bank Or Credit Card Subaccount Setup.

I'd like to provide you with some additional resources that can be helpful during reconciliation and using the online banking features:

Please don't hesitate to post any follow-up questions or new inquiries in the forum. Rest assured, the entire QuickBooks Team is here to support you throughout the process of connecting accounts and ensuring a smooth online banking experience within the QBO platform.
