In the 'Sales by Customer Type' report, the balance displayed per customer is not accurate. How can this be fixed?

Some customer make partial payments or credit memo's to offset balance. This is not being reflected in the report.

I’d be happy to help with your reports. The first thing to check would be the date range. Try broadening the date range and see if the totals match. Next, try opening QBO in a private browser and run the reports. Let's log out and log back in using a private browsing or incognito window. Depending on your browser, here's how:

  • For Google Chrome: Ctrl + Shift + N
  • For Mozilla Firefox: Ctrl + Shift + P
  • For Internet Explorer: Ctrl + Shift + P
  • For Safari: Command + Shift + N

I had the date range set to 'all dates'. I changed the date range to custom to suit my needs better, but no change. I tried running the report in incognito mode and there is no change. The balances are still incorrect.

 

I have a few filters in place - transaction type, customer type, and A/R paid. 

 

I'm in need of a report that shows the customer balance by customer type. We previously used desktop and this report was quick and easy to run.

I appreciate you for getting back and sharing more details here in the Community. Let me help you run the report you need in QuickBooks Online.

 

I've read the thread starting from the top and found out that you're running the Sales by Customer report. Since you want the payments and credit memos to reflect, I recommend using Customer Balance Detail.

 

You can customize the filter and set the A/R Paid to All. This way, it'll show all related transactions under each customer.

 

Here's how:

 

  1. On the left navigation bar, click Reports.
  2. Below Who owes you, select Customer Balance Detail
  3. Press the Customize option.
  4. Choose the date range.
  5. Under Filter,  put a checkmark beside A/R Paid, then select All.
  6. Hit Run report
  7. View the report.

I appreciate your response but this is not what I'm looking for.  I need to filter by Customer Type.

Hi there, userhcurts.

 

I can help you with running this report.

 

Please know that the Sales by Customer Type Detail report will show credit memo and partial payments you've received from your customers. It also provides you the unit and sales amounts for each customer type and lists the transactions that contributed to each total.

 

To ensure that this report will reflect the partial payments and the actual balances of your customer, you'll need to set Cash as the Accounting method. I'll show you how to do it:
 

  1. Select Reports from the sidebar menu.
  2. Under the Sales and customer section, choose Sales by Customer Type Detail.
  3. Click the Customize button.
  4. Set the appropriate reporting date, then select the Cash radio button from the Accounting method section.
  5. Go to Rows/Columns, then tick the Customer and Customer Type checkboxes.
  6. Click Run Report.

Take look at my screenshot below to know how the cash and accrual basis affect the customer's balance:
