Fiat Lux - ASIA Thank you for replying. I'm sorry that I didn't explain precisely. I don't want to close our books by semester, because our fiscal year starts from Jan to Dec. I think when we close our books by semester, our PL will become zero at semester, is it right? If there is any settings to set up the permission, please let me know.

Thanks for getting back to us.

 

You can set up users and roles in QuickBooks Desktop. Let me walk you through the steps:

  1. Click Company on the upper menu, then select Set Up Users and Password and then Set up Users.
  2. Click Add User...
  3. Fill out the User NamePassword, and Confirm Password fields, then select Next.
  4. On the Access for user: (username) window, choose which area of QuickBooks the user has access to, then click Next.
  5. Click Finish.

In QuickBooks Desktop, if you want to keep users from seeing the account balances, you can restrict the user's access rights. Here's how: 

  1. Click Company on the upper menu, then select Set Up Users and Password and then Set Up Users.
  2. Highlight the user, then select Edit User...
  3. Choose Selected areas of Quickbooks option, then keep selecting Next until you are on the Sensitive Accounting Activities page.
  4. Select No Access.
  5. Keep selecting Next until you reach the end, then click Finish.

Also, when closing the entries made at the end of the fiscal year, the goal is to zero out your Income and Expense accounts, then add your fiscal year's net income to Retained Earnings.

I'm wondering whether we can interim closing at September, which our income and expenses don't become zero and users cannot change transactions created before September.

The interim closing feature is currently available in QuickBooks Desktop. I will personally submit this feature to our product engineers so that moving this will be available in QuickBooks. 

 

In the meantime, I recommend visiting our blog site, where we share recent happenings and future developments, such as updates to newly added features. 

 

In regards to the users, that cant change any data in your account. As my colleague mentioned above, you can limit their access. This way they are unable to change any data because it is invisible to their end.

I'm wondering whether we can set up the permission settings like below.
On Jan, a user can create/change/delete transactions.
At the end of Jan, admin set a permission settings on the user.
On Feb, the can create/change/delete transactions of Feb but cannot create/change/delete transactions of Jan.

Currently, you're unable to set up your users' permission settings at once. You can manually change their access every time you make any changes with your users' permission.

There isn't a way for us to set the user permission that way. You can only edit your users anytime you want for their roles.

I'm sorry to hear that we cannot set such permission.

 

I'd like to know whether a create-only user can make a transfer slip.
I'm planning to set up a user who cannot change/delete journal.
And I'm wondering how s/he can cover when s/he makes a mistake of mistyping of amount of money/memo/class/etc.

I know the importance of having the feature you're looking for is beneficial to your business. Right now, if you'd set up a role in QuickBooks Desktop, it has it's own user access rights and limitations in which the option to create a user that way is unavailable.

If you’re using QuickBooks Desktop Enterprise, you can create a view-only user. However, modifying the access for one user's role affects all other users with the same role.
