I received an email from Intuit saying I have to link my company files in Quickbooks within 28 days.  What is this about and how is it done?

You will only receive email notification regarding the linking process of your account if you are a QuickBooks Desktop user who has signed up for QuickBooks Online using the same Intuit account.

 

With this, you'll be suggested to move the company file within 60 days after signing up in QBO. You can browse this link to see the detailed steps: Move your QuickBooks Desktop file to QuickBooks Online.

 

Once you're done with the process, you can compare the reports (QBO and QBDT) to see if the import process is successful.

You can also use this as your guide: What to expect when you switch from QuickBooks Desktop to QuickBooks Online.

I also received an email from Quickbooks Payroll saying I needed to link my company files.  I strictly use Desktop.  I used QBO for one client a few years ago but do not use it anymore.  How do I delete QBO from my computer in a way that will not cause any other issues?

The email sounds like it's about adding EIN to under your payroll subscription. I would recommend contacting our Support team as they have access to your accounts, and they can double-check the email that was sent to you.

 

Here's their schedule:

  • 6:00 AM-6:00 PM PT Monday-Friday
  • 6:00 AM-3:00 PM PT Saturday

Here's how to reach them:

  1. Click on Help and select QuickBooks Desktop Help.
  2. Select Contact Us at the bottom.
  3. Enter a summary of the scenario and click Let's talk.
  4. Click on Message an Agent.

I did receive one of those Intuit Account emails asking me to link my companies of which I have three. If I understand your reply, if I'm not using or requesting to use QB On-line then I don't need to worry about linking my accounts, correct? I do not use QB On-line and have not requested to do so. So there is nothing I need to do, right?

Allow me to chime in and join the conversation. I can help clarify why you're receiving an email to link the companies.


In our continued efforts to improve security across our products, we are making the change to use One Intuit login when accessing QuickBooks. This will give the primary contact greater control over user access and make it easier to have all your Intuit products seamlessly connected. Linking the account ensures the following:

 

  • An extra layer of security and protection
  • Access to edit and modify your information through a single account (same UserID and password) for every Intuit product you choose to use.
  • Access to added features and benefits for Payroll, Payments, Time tracking, and more, which may require an extra layer of security.

Since you received the email, I recommend creating or linking the account. The process is breeze and I'm here to assist in performing the task.

 

  1. Open your company file and sign in using your admin credentials.
  2. Follow the prompt to create an Intuit account.

  3. Please know the credentials can be different from the company file login information.

You may postpone the account linking for up to 42 days while continuing to access to the company file. However, we recommend connecting or creating it as soon as possible.OII.1.png

Thank you so much for your reply and I apologize for being so ignorant about this. I'm confused over two things. First you say to begin at "Create or open a company file," I'm assuming you find this under the File tab. Under that tab the only option close to that is to "Open Previous Company" and when I open that I have access to any of my companies of which I'm already logged into. My second confusion is that I already use the same user name and password for each of my companies so I'm missing what it is I need to do. Sorry!

The steps provided by my colleague, @Rasa-LilaM is for an unlink company file under a single Intuit account.

 

And as additional info, you've mentioned that you have received one of those Intuit Account emails asking you to link companies. A friend or someone may have invited you to use or manage their account in QuickBooks Online. That's why you were prompt to link companies of which you haven't recognize yet.

 

Since you're not using QBO and as long as you have access to the company files that are linked together, you're correct that you won't have to do anything.

 

In case you receive the Intuit Account emails with no purpose, I'd recommend contacting our Tech Support Team to check it on their end. They have tools that can help review your accounts. Just open your QuickBooks and press the F1 key to access your support options or use this link to reach out to them: intuit.me/QBDT.

I just received this email:

We're asking each company admin to link or create an Intuit account per company file.

What is an Intuit account and why do you need it?

An Intuit account is the account you use to access any of Intuit's current and future products. An Intuit account ensures the following:

  1. An extra layer of security and protection  Access to edit and modify your information through a single account (same UserID and password) for every Intuit product you choose to use  An account login will be needed to access some future features

Linking your existing or creating your Intuit account is easy.

  1. Open your company file and log in with your file Admin credentials
  2. Follow the prompt to use/create an Intuit account (email address/username and password). Note that these credentials can be different from the company file log in

You may postpone the account linking/creation for up to 28 days while continuing to access your company file, but recommend you link/create it as soon as possible. Once you've linked or created your new log in, you're all set.

 

Like others mention here, I do not have a QBO account and never have.  I have an Intuit account with one company listed.  I have 3 other companies.  I have had an Intuit account for a long time.  When I logged on today, I did not receive a prompt to link accounts.  Does this mean it's ok?  I DO NOT want to lose access to MY companies if Intuit decides that I have not done what was requested.  I will link the other company files (but I don't see how to do that) - I do not want to create an account per company file.  This statement from the email bothers me and makes me think I will lose access if I don't do something - yet I do not see any action that I can take! "You may postpone the account linking/creation for up to 28 days while continuing to access your company file, but recommend you link/create it as soon as possible"

 

What, if anything, must I do to maintain access to my data and satisfy this request from Intuit????  The instructions are not clear - they outline how to create an account.  Nothing about how to link! 

I do noy understand why I got this email in the first place - I have an account. I have a linked company and I do not have QBO.

As my colleague Angelyn said, you don't need to link your account if you didn't receive any prompts. So, you can still use your QuickBooks Desktop account.

Thank you for the information, but  I don't have any issues logging onto my account.  My concern is that Intuit will block my access if I do not link the accounts within 28 days.  I don't understand why I was sent this email if there is no action for me to take.   I still do not see any instructions on how to link accounts.   How does that work?  Is this it...if I had to link, the system would prompt me to link at the time I log on to my account?  Which, as I have stated, I did not get any prompts.

To verify the email that you've received and identify the course of action that you need to take, I suggest reaching out to our Customer Support team. You can follow the steps below on how to reach them:

  1. From your QuickBooks Desktop account, click the Help menu at the top.  
  2. Click the QuickBooks Desktop help 
  3. Provide some information about this concern on the search box.
  4. Click the Contact Us link at the bottom of the window. 
  5. You'll now be provided a few support options.  
  6. Select Get a call to arrange a callback from a support agent. Or Start a chat to chat with them directly.

I have reached out to ProAdvisor support last week as I was totally puzzled and the client who received the email thought that it sounded strange. Intuit support told me that the email was not issued by QuickBooks and that I should report it as a phishing attempt. I still do not know what to tell my client who does not use QBO.

Intuit support told me that the email was not issued by QuickBooks and that I should report it as a phishing attempt. I still do not know if I should tell my client who does not use QBO that it is a genuine Intuit email, but that by the way it does not apply to her.  

FYI I checked the website Firm of the Future and there was no mention of this issue anywhere on the website that I could find.

I don't think it's a phishing attempt, I hope not!! The email is from: Intuit QuickBooks Desktop <[email address removed]>  I didn't click on email links to logon.  I called support and the rep said I got that because I had another account with a different company and they want them linked.  Who knows?? It is odd.

You can tell your clients to report the email that wasn't issued by QuickBooks to their email service provider. Also, the email can be marked as Spam to avoid clicking it in the email's inbox.

 

You can also report the email if you find it suspicious that is targeting the Intuit brand by going to the Intuit Online Security Center for further information.

 

I'd encourage you to read this article as your reference to stay aware and see the latest security information from Intuit: How to recognize and report suspicious emails. It encloses other safety methods to secure data if in case the email is confirmed used for phishing.

I also received an email "Action requested:  Set up an Intuit account for every company file" with instructions - but the instructions do not work.

 

I do not use Quick Books on-line.  I only use Quick Books Desktop.

I have three company files.  

I am Admin on all three.  

Each company has a unique Password.

I have one Intuit Account.

I have not asked to change to Quick Books On-line.

 

Your instructions for linking these company files to my Intuit Account do not work.  The options you cite for the F1 key (Help) are not listed when I click on the F1 key.  

There is no "Contact Us" option.  There is no Contact Tech option.

Your replies to the questions on this topic are contradictory.  

 

Question:  May I disregard the email and the "Action requested...."?

Thank you for reaching out to the QuickBooks Community, jenel7680. This email simply informs you that there is a new option to link your Desktop account company files to your Intuit Account. Instead of having to log in with a user ID and password each time, you can sync with your Intuit account and will only have to log into the file every 90 days. Linking your file to your Intuit account is optional. However, if you would like to set this feature up within QuickBooks Desktop, here's how:

 

  1. Go to the Company tab, then select Set Up Users and Passwords.
  2. Choose Manage Login Settings.
  3. The admin can then choose how long a user is logged in from various settings – 1, 7, 30, 60, or 90 days and save these changes.

I use Quickbook desktop and I HAVE NOT REQUESTED to move to QB online, how come then I received an Email saying that I have to link the accounts. 

And this statement SAID:
