Move Multi-User QB 2020 to Single User Laptop

We currently have a three-user QuickBooks 2020 system running on a small network.  At the request of the owner, we need to move this QB system from the server (which hosts multi-user access) over to his laptop machine (single user only, four company files).

I would greatly appreciate any suggestions or advice on how to best accomplish this.  Thanks very much.

I'm here to guide you in moving your data, JN92.

I can share details about using the Migrator Tool to move your QuickBooks and company files to another computer.

Yes, you are correct. You can use this utility feature to transfer  QuickBooks software and the company file to the owner's laptop. Please ensures that you are connected to the internet and have a USB flash drive ready to complete the migration. Also, you might need to back up one of the company's data since this can only move a maximum of 3 company files. I'll show you the step-by-step process.

Step 1: On the old computer:

  1. Open QuickBooks and log in as Company Admin.
  2. Go to the File menu, then hover your mouse to the Utilities.
  3. Select Move QuickBooks to another computer.
  4. Click I'm Ready, create a one-time password.
  5. Follow the instruction to choose the USB flash drive. Then wait for it to complete.

Step 2: On the new computer or laptop:

  1. Insert the USB flash drive.
  2. Open the flash drive to view the files copied from your old computer, then double-click the file Move_QuickBooks.bat to start the migration.
  3. Enter the one-time password you created.
  4. Click Let's go.
  5. Wait for the Migrator Tool to finish.

If the migratory tool doesn't open and runs the file, you may need to update your windows 10. For your reference, you can check out this article for more detailed information: Move or reinstall QuickBooks Desktop to another computer.

In addition, I've included this material in case you want to transfer info from your old computer to the new one: Import and export data in QuickBooks Desktop. Here you can find the lists and transaction types you can import.

Open your company file, go to menu File > Switch to Single user Mode. Create a backup copy of your company file and restore it on the new machine.

Thanks very much for your suggestion.  I assume we would need to do this four times since there are four companies involved.

Also, in terms of the QB program itself, would we need to reinstall it from scratch on the new machine?

Hello, JN92.

No, as mention by our champ Fiat Lux- ASIA, you'll need to create a backup copy of your company file and restore it on the new machine.

After installing the same or newer version of QuickBooks on your new computer you can transfer a backup of your old computer's QuickBooks file. Once the back-up process has completed, you can continue to keep track of rent, schedule payments to vendors and keep record of all your business expenses and income.

Furthermore, here are some quick articles that can sort out:

Thanks for your reply and suggestions, Ailene.  What do you think of using the option in QB 2020 (File/Utilities/Move QuickBooks to a new computer)?  That appears to handle both the movement of the existing company files as well as the QB program itself.

Please let me know your thoughts on this approach?
