Multi user mode

I am new to quickbooks and trying to get all my company information on one platform. Currently using excel but we are outgrowing the capabilities of excel. 

 

My goal is to have two different users, working from seperate locations (from home). Both need to be able to access the company file at the same time and be able to save their work without it overwriting the other persons work. I have done some research but not finding a straight forward answer.

 

I currently have QB Pro 2019. On a side note, I used to use QB online self employed but I dont see that program being needed anymore if I am switching to QB Pro. Am I right or are there still features that program does that QB Pro desktop does not do?

Multi user mode

Should you need a multi-user mode to access your QBD data file, consider deploying a private cloud using this solution. It costs $25/month/access. One of the computers will be assigned as the host and both of you can work on the same file at the same time.

For a lower cost, you should consider a remote desktop app. But both of you won't be able to work at the same time.

I could handle not accessing at the same time if it saves some money. We wouldnt be using at the same time too much. Does it prompt you that you are not allowed to use because someone else is in the file?  Is this private cloud the same thing as a VPN?

Welcome aboard to the QuickBooks Community, Adam311.

 

I'm here to lend a hand in setting up your QuickBooks Desktop (QBDT) Pro 2019 to a multi-user mode.

 

To get started, please keep in mind that the suggested multi-user set up is having the company file stored on the Host computer.

 

To turn on hosting, here's what you'll need to do:

  1. Go to the File menu at the top. 
  2. Select Utilities, then Host Multi-User Access on the drop-down.
  3. Hit Yes on the confirmation window.

Once finished, proceed on setting up your QBDT to a multi-user mode. Visit this great resource for detailed steps on how to accomplish it: Set up a multi-user network.

Does the host computer need to be turned on in order to have the second user access the files? Also, does the second user need a seperate ceritficate if not accessing at the same time as the host but using from another location?

Hi Adam311. To use the file in multi-user mode the host computer must remain on with the file opened in multi-user mode. If you don't know how to turn on multi-user mode, we have an article that explains the process of remotely opening files that I think would help you very much. The host computer has to be turned on. If yuo are using a remote desktop app, you don't need to install anything on the remote computer. You will access the host and running QuickBooks on your browser.
