First, let's ensure that your security settings are setup and your QuickBooks Desktop is ready for the export. Check out this link for the instructions.
Step 1: Prepare to export your QuickBooks Online data
- Go to the Gear (Settings) icon in your QBO account.
- Pick the Export Data option under the "Tools" column.
- Select Continue after entering a reason for exporting.
- Hit Learn more in the "Moving to QuickBooks Desktop" section.
- In the "Download company data" portion, tap Learn more.
- Press Get started.
- Follow the steps to install ActiveX. Click Continue when finished.
- Choose the data you want to export and then hit Continue.
- Review the limitations.
- Enter your contact info and then Continue.
When your data is ready, you'll get an email. This may take up to 2 hours based on how much data is needing to be transferred.
Step 2: Finish exporting your data
- Go through steps 1-6 from above.
- Press Continue to download on the exporting from QuickBooks Online page.
Now, switch over to QuickBooks Desktop.
- Go to the "No Company Open" screen.
- Press Download in the QBO account.
- Select a location to save the file, in the save your company file window.
- Once the download finishes, hit Convert Now.
- After export is done, tap Finished.
Step 3: Verify your info exported correctly
You can use a Profit and Loss report to ensure that your books match.
Step 4: (Optional) Cancel QuickBooks Online
If you don't need your QuickBooks Online account, here's how to cancel your plan.
