Pledges made by couples vs individuals - Family Name with Subdonors vs Each member be a Donor???

We are a small Non-Profit with only about 130 members.  Essentially all A/R is from Pledging, so our A/R Account will simply be Pledges.

Of those who pledge, about 10 "Pledge Units" are couples.

There are two ways to set this up: 

          Family Name with each person being a Subdonor; or

          Each person is a Donor.

Each has its pros and cons.  The dilemmas include - how to adjust the account if one person dies; if the couple separates.  So the real question is - which of the above approaches minimizes hassle in the event of relationship changes?

I'm glad you reached out in the Community forum about the best approach to set up couple's pledges in QuickBooks Online (QBO) to minimize hassle in the event of relationship changes, @LCUUF. I'll share information on the best approach to set up.

You can set up the couple as sub-donor and if a dilemmas come up as they separate or one person dies, you can just move the AR balances to one customer using a journal entry. However, I'd still recommend reaching out to your accountant for other best ways to set up and guidance in recording AR adjustments.

Here's how to set up sub-donors:
 

  1. Go to Sales, then Donors.
  2. Click New Donors.
  3. Enter your customer’s info.
  4. Tick the checkbox for Is sub-donor.
  5. In the Parent donor drop-down, find the parent customer or member, then select Bill with parent or Bill this donor.
  6. Enter all necessary information and click Save.

Furthermore, if you need to review each contribution received from a donor during a specific period, you can run the Transaction List by Donor report. I'll show you how.
 

  1. In your QBO account, go to Reports and enter Transaction List by Donor report from the search field section.
  2. Click on the Switch to Classic View button for an easier process.
  3. Select the Customize icon and enter a specific date under the Report period section.
  4. From the Change Columns section, choose how you want to display the data.
  5. Under the Filter dropdown, modify all specific information you need.
  6. Review all details and click Run Report.
