Let me step in and assist you with your concern. You can have multiple company file under your QuickBooks Online account. Each company file you add needs a subscription, you can open them all with the same login credentials and info.

You may also use these steps in case you need help deactivating an account in your Chart of Accounts. Please follow these steps:

1. Go to the Accounting tab.
2. Select the Chart of Accounts.
3. Look for the account you want to deactivate.
4. Click the Action drop-down arrow in the account section.
5. Choose Make inactive.

You should open one QBO account for each company file.

For your needs, I would recommend using QB Desktop to manage multiple company files with a one time license. If you are eligible, you may purchase QBD Premier license thru Techsoup for a special price. Otherwise, purchase it thru a reseller/partner.
