I appreciate the detailed information you've shared, crosley623.
The accounts might have been reactivated when you switched from Desktop to QuickBooks Online.
The error also indicates that the account you're trying to make inactive is used in an active workflow. You can delete the workflow first using the QBO Advanced before making the old account inactive.
Here's how:
- Look for the Gear icon on the upper right corner.
- Select Manage workflows.
- Choose the accounts that you want to delete.
- In the Search by workflow name, type the account you want to delete.
- From there, under Actions, click Delete.
If you're done, you can now make the accounts inactive in your Chart of accounts through editing and merging. However, there are also accounts that can be edited but cannot be made inactive.
I've added this article for you to be able to know which accounts can only be deleted: Manage default and special accounts in the QBO chart of accounts.
Once everything's settled, here's an article you can browse through in case you need assistance making it inactive: Make an account inactive in the Chart of Accounts.
Keep me posted if you have any other concerns about deleting accounts or anything else about QuickBooks. We're just one click away. Stay safe.
