Thanks for reaching out to the Community, @farah1.

It's possible that you're not using the QuickBooks version (i.e Premier or Enterprise) your client used to create the accountant's copy (.QBX). If that's the case, make sure to open the same version.

Here's how:

  1. Open QuickBooks Accountant Edition.
  2. Go to the File menu at the top left to get to the Toggle to Another Edition
  3. Choose the correct version, then tick Next.
  4. Click Toggle.

Once done, you can now convert the accountant's copy (.QBX) to a working file. Here's how:

  1. Go back to the File menu to get to the Open and/or Restore Company
  2. Pick Convert an Accountant’s Copy Transfer File, then Next
  3. Read through the Overview, then Next. Do the same with the Can and Can’t Dos and select Next.
  4. Locate and open the .QBX, then confirm to convert the file.
  5. Rename it, then hit Save.

For more information about the process, consider checking out this article: Use an Accountant's Copy working file.

Just in case, I'll add this article for future reference: Use the Accountant's Copy.

thanks for your response.  I actually have QB Desktop Pro 2019 so I don't even have the option of toggling to another version. I have used premir and enterprise but nto desktop pro 2019.

can I even make changes as an accountant in Desktop Pro 2019 or do I need to upgrade to a different version? any thoughts? thanks

Thanks for adding more details about your concern, @farah1.

You can still work on the Accountant’s Copy using a different version. Simply make sure the gap between the versions is just one year and you’re using a more recent one.

Check out the list below:

  • Client: QuickBooks Desktop Pro or Premier 2018Accountant: QuickBooks Desktop Premier Accountant Edition 2018
  • Client: QuickBooks Desktop Pro or Premier 2017Accountant: QuickBooks Desktop Premier Accountant Edition 2017 or 2018
  • Client: QuickBooks Desktop Enterprise 2018Accountant: QuickBooks Desktop Enterprise Accountant Edition 2018
  • Client: QuickBooks Desktop Enterprise 2017Accountant; QuickBooks Desktop Enterprise Accountant Edition 2017 or 2018

I'm adding a link that provides an overview of the Accountant’s copy workflow.

If your client’s QuickBooks isn’t similar to the one you’re using, you can consider upgrading to a different version. Check out the Upgrade to newer versions of QuickBooks Desktop Pro Plus, Premier Plus, or Enterprise article for detailed instructions.
