How do I change the account order on the Profit and Loss report?

When I generate a Profit and Loss (Standard or Detail) report, the order of accounts appears random - it's not by account number, alphabetical by name, or any other pattern I can see.  In the Standard report, if I click on the header for the amount column (ie "Jan-Dec '14"), I can change the sort order so the accounts are listed by total, either largest first or smallest first.  In the Detail report, I can also sort within the accounts by clicking on the other header columns.  However, I have found no way of sorting the accounts by account number.  Is there a way of doing this?

This is a Basic List Management tool and applies to any list in QB. When the report is wrong, it indicates the list is wrong.


Open the Chart of Accounts and use View menu > re-Sort list. This allows QB to put it back into Alpha order. This will fix the report.


Oh, sorry: For Mac, I think it is one of your Control/Command menu functions. Open Write Check, click on the account dropdown, try Ctl/Cmd L.

I can't imagine wanting my P&L in alphabetical order or an order decided by QB or any software.  Absolutely want mine in account number order since that is why we assign account numbers so mine sorts by account number and the only restriction is that revenue is before expenses and that Other Income and Expense is at the bottom.  Were you able to get account number order here?

You can always sort the accounts on your Profit & Loss report by total or account number. Just click on the arrow-down beside the Sort By field.

 

 

If the account numbers aren't sorting out properly, I'd suggest doing the re-sort list as recommended by one of our Community Backers.

 

Here's how:

  1. Select the Lists menu and choose Chart of Accounts.
  2. Click the Include Inactive checkbox. If there are no inactive accounts, items, etc., the box will be grayed out.
  3. From the List (Account/Item) drop-down, select Re-sort List.
  4. Click OK on the Are you sure you want to return this list to its original order? prompt.

 

 

Then open your P&L to check if it's properly sorting the account numbers by order. QuickBooks re-sorts lists based on the first three digits of the account number. If you have multiple accounts listed, your Chart of Accounts may be out of order numerically.

Never had a problem with accounts sorting in numerical order so was surprised by the question but did not know it only looks at the first three digits, that seems very odd but I guess is good to know.  Yes, I see in your example if you have account numbers that are not same length that would be odd.

Verifying and rebuilding your data is a good start when it comes to fixing data-related issues in QuickBooks Desktop.

 

To Verify Data:

 

  1. Click Window at the top menu bar, then Close All.
  2. From the File menu, choose Utilities.
  3. Tap Verify Data.

 

To Rebuild Data:

 

  1. Click Window at the top menu bar, then Close All.
  2. From the File menu, choose Utilities.
  3. Hit Rebuild Data.
  4. You will receive a warning message to backup your company file, press OK.
  5. Click OK when you get the message "Rebuild has completed".
